Administrative Assistant

The primary responsibility of the Administrative Assistant is to support the Director of Technology Solutions by planning, organizing, developing, and directing the administrative and project coordination functions of the One Church Technology Solutions team. This role facilitates collaboration across Pinelake's campuses and ministry areas and provides day-to-day support for technical initiatives through structured project management practices and work management tools (including Monday.com).

General Responsibilities :

  • Works in coordination with the overall goals and objectives of Pinelake Church.
  • Assists the One Church team to work toward excellence in all areas of the ministry.
  • As a part of the overall One Church team, participate in campus-wide ministry events.
  • Basic personal responsibilities :

Maintain a vital and growing personal walk with the Lord through committed Bible study, prayer, meditation and practicing L3.

  • Maintain proper priorities in your home including your spouse and children (if married and / or with children).
  • Faithfully support the ministries of Pinelake by maintaining wise stewardship measures over the resources entrusted to you
  • Maintain active participation in community.
  • Reflect a growing awareness and practice of personal Emotional Healthy Spirituality.
  • Perform duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Pinelake Church (Colossians 3 : 23-24).

  • Specific List of Duties and Responsibilities :

  • Plans, establishes, and supervises the implementation of all administrative functions for the Technology Solutions Team.
  • Facilitates clear communication and collaboration across ministry areas through reporting, data assimilation, project management, and consistent updates.
  • Provides support by scheduling and preparing for events, meetings, gatherings, and travel.
  • Responsible for assigning timelines for administrative functions and providing deliverables based on ministry deadlines.
  • Works closely with the Technology Team to setup and configure tools for event support.
  • Orders materials, hardware, software licenses and resources as requested.
  • Tracks and balances monthly expenses and reports activity for Technology Services.
  • Performs other duties as assigned.
  • Technical Project Coordination & Work Management :

  • Supports the planning and coordination of technology-related projects by tracking tasks, timelines, dependencies, and deliverables.
  • Maintains project boards, workflows, and documentation using Monday.com to ensure visibility, accountability, and clear communication.
  • Assists the Director of Technology Solutions with project intake, prioritization, and status reporting across multiple initiatives.
  • Facilitates consistent project updates to stakeholders, helping ensure alignment across campuses and ministry areas.
  • Helps standardize project processes, templates, and reporting to improve clarity and execution.
  • Coordinates with the Technology Team to support tool setup, configuration, and readiness for events and ministry needs.
  • Gathers and organizes project-related information, documentation, and data to support informed decision-making.
  • Supervisory Responsibilities :

    There are no supervisory responsibilities for this position.

    Qualifications :

    Education and / or Experience :

    Bachelor's degree preferred. Two to four years of administrative experience minimum for competitive candidates. Applicable experience may substitute for portions of the educational framework.

    Language Skills :

    The individual must have excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating tact and diplomacy. Exceptional interpersonal skills are required to develop and maintain strong working relationships with volunteers, co-workers, the public and church members and regular attendees. The individual must have the ability to understand written or oral instructions; read, analyze and interpret complex documents, instructions manuals, policies and procedures is essential.

    Computer and Mathematical Skills :

    The individual must have demonstrated skill in the use of Windows / MacOS to complete tasks, including word processing and spreadsheets and the ability to use the internet for information retrieval. The individual must have basic mathematical skills, knowledge of bookkeeping and basic accounting, and budget and expense monitoring. The individual must have the ability to read financial information and spreadsheets.

    Reasoning Ability :

    The ability to simultaneously conceptualize and plan multiple tasks; project outcomes using different implementation strategies; and apply creative and innovative thinking to problem situations is required. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
