Description:

The Health Information and EHR Systems Analyst program (HIER) is designed to equip students with the skills and knowledge needed to manage healthcare information and electronic health record (EHR) systems effectively. This program provides hands-on training in EPIC, SQL, Tableau, and Crystal Reports, preparing students for real-world challenges in clinical data management, system implementation, and reporting. Participants will also gain foundational knowledge to support healthcare IT systems, ensuring data accuracy, security, and compliance.


This program prepares students for the HIMSS CAHIMS certification, providing a strong pathway into health information technology and EHR specialist roles across healthcare settings.


Note: This program consists of online classroom training and a remote hands-on internship/externship. Participation in both components require a commitment of 40 hours per week during standard business hours.


Note: This program consists of 3 Phases:


1. Online classroom training (approximately 18 weeks)

2. Internship (approximately 11 weeks)

3. Externship (approximately 10 weeks)


Participation in all components above is required and require a commitment of 40 hours per week during standard business hours. The entire program as a whole is approximately 39-44 weeks in duration.

Eligibility Requirements:

  • Applicants must be residents of California.
  • Must be 18 years or older
  • Must have a high school diploma or GED certification
  • Must be a U.S. Citizen/National or have a valid Lawful Permanent Resident Alien (not open to non-citizens or Visa holders)
  • Must have proficient computer experience (MS Windows & MS Suite (Word, Excel, PP, Outlook)
  • Ability to type Net 40 wpm
  • Great attention to detail and strict HIPAA compliance
  • Analytical and detail oriented.
  • Able to learn in a self-directed, fast-paced, rapidly changing environment.


Program Details:

  • Schedule: The training program runs Monday through Friday, 8:00 AM to 5:00 PM, and includes a living stipend.
  • Commitment: The program includes remote learning and remote hands-on internship/externship training. Accepted participants must complete 40 hours per week, Monday through Friday, during regular business hours for the entire duration of the program.
  • Compensation: $31,200, This stipend is distributed over approximately 44 weeks for participation in both remote learning and remote hands-on internship/ externship training. Stipend payment is made on OCHIN's semi-monthly pay schedule.
  • Benefits: Eligible for monthly benefits reimbursement of up to $600 (participant cost only). Some restrictions apply. Also, Internet Stipend $35/month for 44 weeks
  • Attendance Policy: Participants are not eligible to receive paid holidays or paid time off (PTO), all missed time will need to be made up.

Program Objectives:

  • Learn to apply specialized health care and database management insights to analyze important clinical data, identify trends, and create targeted reports.
  • Develop expertise in managing health information and EHR systems to support healthcare organizations.
  • Apply data management skills using tools such as EPIC, SQL, Tableau, and Crystal Reports to analyze and report clinical data.
  • Understand and implement system design, testing, and security protocols to ensure data privacy and compliance.
  • Prepare for the HIMSS CAHIMS certification exam, focusing on healthcare IT, leadership, and system analysis.
  • Support healthcare teams in optimizing operational workflows and improving patient outcomes through technology


Requirements


  • Work newly identified duplicate/overlay cases using designated reports, work queues, e-mail communications and phone calls.
  • Conduct detailed review of identified issues and documentation in logs and data bases.
  • Follows established procedure for combining cases, moving cases, adding known non-duplicates.
  • Professional communication with downstream and external users.
  • Review and process information collected from various inbound interfaces and Epic sub systems to ensure data integrity
  • Prepare reports for distribution and monitors for completion.
  • Provide support to healthcare staff for EPIC and other EHR systems by troubleshooting and resolving application issues.
  • Manage data integrity through error queue management and accurate reporting, including lab, prescription, and charge routing errors.
  • Collaborate with clinical teams to enhance system efficiency and improve health information processes.
  • Maintain user accounts, workstations, and system configurations to ensure smooth operations.
  • Lead system testing, implementation, and ongoing maintenance, ensuring compliance with privacy and security standard
  • Oversight of the quality, timeliness, and accuracy of the medical record and patient indexes for patient care, legal, revenue, research, and regulatory needs
  • Maintaining the security and integrity of health information
  • Collection, quality control, and dissemination of data for comparative databases and statistical reports including specific disease and procedure registries
  • Maintains and contributes to patient care by organizing and maintaining patients' medical records and health information
  • Answers requests for information and documents
  • Updates and reviews medical records by reviewing information, notifying healthcare providers of record deficiencies, and tracking outstanding records
  • Maintains patient confidence and protects our operations by keeping information confidential and complying with privacy policies and regulation
  • Updates medical history in a timely manner
  • Receiving and processing patient forms, medical histories, and test results
  • Analyzing the information collected to ensure that it is correct and accurate
  • Assessing health records and insurance claims
  • Ensuring compliance with confidentiality laws and regulations
  • Managing and updating data for clinical databases and registries
  • Other duties as assigned.

OCHIN Workforce Development Health Screenings and Immunization Requirements

To ensure the safety of our learners, partners, and communities, OCHIN requires all program participants-including those attending remote and in-person training, internships, and externships-to be vaccinated with a COVID-19 vaccine, as recommended by state and federal public health officials. Participants must provide proof of full vaccination or receive approval for a medical or religious exemption prior to program acceptance.

Additionally, for on-site internships and externships, participants must provide proof of meeting the immunization requirements specific to the host site prior to acceptance into the program. These requirements may include, but are not limited to, vaccinations for influenza, hepatitis B, and MMR. Requests for exemptions based on medical or religious grounds will be reviewed and must comply with applicable laws and site-specific policies.

Please note that many sites require participants to complete tuberculosis (Tb) testing and drug screening before beginning their placement. Participants are responsible for ensuring that all required health screenings are completed by the site's deadline to avoid delays in program participation.
