We are seeking a rockstar Project Manager—the captain of the ship and backbone of our operations. This person will run the day‑to‑day, anticipate needs, and keep our team steps ahead at all times so leadership can focus on growth.

Key Responsibilities
Operational Leadership (You Run the Ship)
Live 3 steps ahead of the team—anticipate needs, spot risks early, and proactively solve problems before they surface.
Lead projects from intake to delivery with total ownership of timelines, deliverables, and workflows.
Hold the team accountable, ensure nothing falls through the cracks, and maintain an aerial view of all moving parts.
Adapt seamlessly to our communication style and replicate our client voice with confidence and warmth.
Project Planning & Coordination
Manage media digitizing, organizing, and editing pipelines with precision.
Build and maintain project timelines, keeping the team aligned and informed.
Assign and track tasks across creative and administrative roles.
Communication & Client Experience
Serve as a primary point of contact for clients with a polished, friendly, brand‑aligned tone.
Deliver clear, proactive communication to clients and team members.
Collect feedback and ensure revisions reflect client preferences and brand standards.
Quality Control & Systems
Review deliverables—especially photo books and videos—to ensure brand standards, quality, and adherence to client preferences.
Strengthen workflows, close system gaps, and streamline operations.
Maintain organized archives, backups, and secure handling of sensitive media.
Leadership & Support
Train new hires, create system documentation, and maintain up‑to‑date training materials.
Step in wherever needed (scanning, organizing, editing) to ensure projects move forward.
Protect the owner’s mental bandwidth by taking radical responsibility for operational smoothness.

Qualifications
3–5+ years of project management experience (creative, marketing, or agency preferred).
Exceptional communication and client management skills.
Experience leading a small team of staff to ensure project success.
Proficient with project management tools and general tech‑savviness.
Ability to prioritize, multitask, and manage tight timelines with excellence.
Strong understanding of digital media workflows and asset management is a big plus.
