Position Summary
The Inventory Coordinator is responsible for maintaining accurate inventory records, supporting production readiness, and ensuring compliant inventory operations within a regulated cannabis environment in Washington State. This role works closely with Operations, Packaging, Distribution, and Accounting to ensure inventory accuracy, material availability, and traceability.
Approximately 75% of this role focuses on Inventory Coordinator responsibilities, with the remaining 25% supporting Fulfillment Associate duties, including order picking, packing, and shipping as needed.
Key Responsibilities
Inventory Control and Accuracy
- Maintain accurate physical inventory counts and ensure timely and precise entry and reconciliation of inventory data in tracking systems (Cultivera, Excel)
- Conduct regular cycle counts and investigate, document, and resolve inventory variances
- Perform product creation and conversions in Cultivera
- Ensure batch integrity, traceability, and accurate labeling of all materials and finished goods
- Monitor inventory levels to prevent shortages, overstocking, or production disruptions
- Support month-end inventory close processes and reporting
Receiving and Intake
- Receive, verify, and log inbound deliveries to ensure quantities, SKUs, and documentation match purchase orders and manifests
- Intake materials including distillate, infused materials, packaging components, and coned pre-rolls into inventory systems
- Ensure received materials are properly labeled, organized, rotated using FIFO, and stored in accordance with SOPs and compliance standards
- Communicate discrepancies, damages, or missing items promptly
Compliance and Documentation
- Ensure all inventory activities comply with Washington State cannabis regulations and internal SOPs
- Maintain accurate records for audits, inspections, and traceability requirements
- Support internal inventory audits and corrective actions
- Assist with documentation related to inventory movement, adjustments, and reconciliations
- Support dashboards and trackers related to inventory KPIs and metrics
Operational Support
- Maintain a clean, organized, and safe warehouse environment
- Assist with ordering and tracking inventory-related supplies
- Collaborate cross-functionally to support operational efficiency
- Assist with implementing 5S standards in inventory areas
- Perform other duties as assigned by the Operations Manager
Qualifications
- High school diploma or GED required
- Strong attention to detail and high level of accuracy
- Knowledge of FIFO, cycle counting, and inventory control best practices
- Experience with inventory systems or ERP/MRP platforms (Cultivera preferred)
- Ability to work in a regulated environment and follow SOPs closely
- Strong math, organizational, and time-management skills
- Effective communication and teamwork abilities
- Ability to lift up to 50 lbs and sit or stand for extended periods
- Comfort with repetitive physical tasks such as bending, lifting, and moving products
- Willingness to work flexible shifts, including early mornings, late afternoons, and weekends if necessary
