Phoenix Pro Connect is supporting a high-growth company located in Hollywood, FL in their search for a highly organized and proactive Executive & HR Support Administrator to join their dynamic team.
Job Summary
This role is ideal for someone who thrives in a fast-paced environment and enjoys wearing multiple hats. You'll oversee daily office operations, coordinate travel arrangements, manage leadership scheduling, and assist the HR Director with various administrative tasks and special projects. This is a full-time, in-office position Monday through Thursday, with the flexibility to work remotely on Fridays.
Key Responsibilities
Office Operations & Administration
- Act as the primary point of contact for all office-related inquiries and support.
- Manage office supplies, equipment inventory, and vendor relationships to ensure smooth operations.
Travel & Scheduling Support - Coordinate domestic and international travel, including booking flights, accommodations, and transportation for the leadership team.
- Maintain and manage executive calendars-scheduling meetings, appointments, and events.
- Assist in preparing travel itineraries, expense reports, and required documentation.
HR Support - Provide administrative support to the Senior HR Director, including document management and policy implementation.
- Assist in scheduling interviews, onboarding and offboarding processes, and ongoing HR projects.
- Support coordination of employee events (e.g., ordering food, picking up celebration items, handling logistics).
- Maintain confidentiality when handling sensitive employee and company information.
Qualifications & Skills - 2-5 years of experience in office administration, executive assistance, or a related administrative role.
- Strong organizational, multitasking, and time-management abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with travel coordination and expense management is a plus.
- Excellent communication and interpersonal skills.
- Proven ability to handle confidential matters with discretion.
- Proactive mindset with strong problem-solving abilities.
- Must be available to work on-site Monday-Thursday (remote on Fridays).
Preferred Qualifications - Experience supporting senior leadership and/or HR functions.
- Familiarity with HR administrative processes and best practices.
- Prior experience in a fast-paced, high-touch, or growth-focused work environment.
