Job Description

Job Description

Insidesource DEI Statement

By nurturing a culture where everyone experiences a deep sense of belonging and equity of opportunity, we will uphold our vision to “unleash human and business potential.” We commit to being an anti-ism workplace and embedding diversity, equity, and inclusion throughout our business.

Job Summary

The Project Manager oversees all aspects of a project from initiation through planning, execution, occupancy, and closeout. This role works directly with clients to clarify project requirements and expectations, analyze solutions, assess risks, and track milestones to ensure a seamless experience. The Project Manager collaborates closely with internal teams (Account Managers, Designers, Account Coordinators) and external partners (Architects, General Contractors, Electricians, Data Vendors, and Installers) to ensure every project runs smoothly from start to finish — delivering a workspace that meets the client’s vision and satisfaction.

This role will work within our Healthcare business unit, focusing entirely on healthcare projects.

Essential Duties and Responsibilities
  • Oversee project implementation and execution through completion of office build-out.

  • Define project scope in collaboration with clients and internal teams to establish goals that ensure project success.

  • Ensure project scope and deliverables are clearly understood, documented, and maintained through completion.

  • Develop detailed project schedules based on product lead times, construction timelines, and client needs.

  • Publish project schedules to internal and external teams and track progress regularly.

  • Manage project performance against goals, objectives, schedules, and milestones.

  • Identify and report variances from schedule and implement corrective actions to maintain the critical path.

  • Attend weekly OAC (Owner, Architect, Contractor) meetings as required and communicate updates and action items to the internal project team.

  • Lead or participate in project kick-off and internal team huddle meetings to ensure roles, responsibilities, and deliverables are clear.

  • Develop scopes of work for installation vendors; obtain and review labor quotes for accuracy.

  • Present labor pricing and project management hour estimates to internal stakeholders for approval.

  • Identify, manage, and mitigate potential project risks that may impact scope, schedule, budget, or quality.

  • Implement and manage change control processes, securing client approvals and issuing change orders as needed.

  • Communicate the impact of change requests and propose best-path solutions to clients and project teams.

  • Coordinate with landlords and property managers to meet insurance, access, and building protection requirements.

  • Conduct site verifications to confirm conditions are suitable for furniture delivery and installation.

  • Ensure compliance and reporting requirements are met for any prevailing wage projects per DIR/DAS standards.

  • Facilitate pre-installation meetings with installers and designers to confirm scope, performance standards, and deliverables.

  • Oversee furniture installation, providing regular updates to clients and internal stakeholders.

  • Conduct punch walks with clients; document and track punch list items through closeout.

  • Take full responsibility for assigned projects, ensuring delivery meets or exceeds client expectations.

  • Communicate effectively with executive-level stakeholders, presenting updates and recommendations with confidence.

  • Maintain flexibility with work hours and travel as needed.

Supervisory Responsibilities

This position does not have direct supervisory responsibilities.

Skills, Knowledge, and Experience

Technical Skills

  • 5+ years of project management experience within the furniture dealership industry.

  • Familiarity with construction, architecture, or commercial real estate is a plus.

  • Working knowledge of architectural drawings and furniture standards preferred.

  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).

  • Experience or willingness to learn project management platforms such as PlanGrid, Box, Dropbox, Smartsheet, and Google Workspace.

Communication & Interpersonal Skills

  • Strong written, verbal, and presentation skills.

  • Ability to confidently engage with clients, architects, contractors, and vendors.

  • Skilled at building relationships and guiding clients toward efficient project decisions.

  • Collaborative and professional approach with both internal and external stakeholders.

Analytical & Organizational Skills

  • Strong analytical abilities with attention to detail and accuracy.

  • Capable of managing multiple priorities in a fast-paced environment.

  • Proactive in identifying potential roadblocks and resolving issues effectively.

  • Able to assess complex situations and make informed, timely decisions under pressure.

Leadership & Accountability

  • Highly organized, strategic thinker who anticipates needs and follows through.

  • Takes full ownership of project outcomes and inspires others to do the same.

  • Excited by new challenges and demonstrates adaptability in times of uncertainty.
