Responsibilities
  • Schedule appointments, manage calendars, and coordinate meetings.
  • Prepare, edit, and maintain documents, reports, and spreadsheets.
  • Experienced with outlook, Microsoft Applications, CRM's, EXCEL.
  • Organize and maintain digital and physical filing systems.
  • Assist with processing applications, forms, and customer records.
  • Monitor emails, respond promptly, and ensure follow-ups are completed.
  • Support office operations, including ordering supplies and managing inventory.


  • Help track deadlines, tasks, and projects to ensure timely completion.


  • Maintain a professional and positive experience for clients and visitors.


  • Perform data entry with accuracy and attention to detail.


  • Assist with special projects and additional duties as assigned.
  • Answer and route incoming calls, take detailed messages, and assist clients with general inquiries.

Requirements

Education & Experience

High school diploma or equivalent required; Associates degree preferred.

years of administrative or office experience (preferred but not required if strong skills are demonstrated).

Skills & Abilities

  • Strong communication skillsboth written and verbal.
  • Excellent time-management and organizational skills.
  • Bilingual (English/Spanish).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and basic computer systems.
  • Comfortable learning new software and tools quickly.
  • Reliable, punctual, and able to work independently with minimal supervision.
  • Professional Qualities
  • Positive attitude and strong customer-service mindset.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving skills and willingness to take initiative.
  • Team-oriented and able to support multiple team members.
  • Experience in insurance or financial services is a plus.
  • Valid drivers license for occasional errands (optional depending on your office).
