Position Summary:
The Client Account Services Representative works with an assigned list of billing attorneys and their clients to accurately maintain client account balances within the specified terms of engagement.
Essential Functions:
1. Reviews assigned accounts and initiates activity to recover delinquent funds.
2. Keeps accurate and detailed records regarding collection activities by client number in the Expert Collections module of Aderant when any new activity takes place (i.e. conversation with client, voice messages left, correspondence sent, etc.).
3. Utilizes both written and verbal communication to inform clients of balances due and due dates (i.e. statements, letters, emails, phone calls, etc.).
4. Actively participates in firm collection push periods.
5. Assists billing attorneys in determining when an account should be written off, discounted, or sent to an outside collection agency.
6. When necessary, assists billing attorneys with the preparation and submission of the proper write-off forms.
7. Provides copies of invoices and initiates updates when incorrect addresses, contact names, and phone numbers are uncovered in the collection process.
8. Listens to client feedback and takes appropriate steps to resolve issues.
9. Participates in department meetings and keeps the Client Account Services Manager informed about problem accounts.
10. Communicates properly and promptly with BFCA personnel and external contacts at all times and must exhibit a high level of customer service at all times.
Additional Responsibilities:
1. Generates reports and aids the Director of Client Account Services and Client Account Services Manager with special tasks when necessary.
2. Performs other duties as assigned.

Qualifications:
The Client Account Services Representative must have a high school diploma. Three to five years of experience in a legal billing environment is required. Demonstrated advanced knowledge of collection principles, accounts management and accounting is required. This position requires the ability to work individually and self-manage. Must be proficient in Word and Excel. Flexibility to work overtime as needed. Must possess an excellent customer service attitude. Must be able to multitask and be able to change priorities as deemed necessary to meet Firm and Client expectations. Must be comfortable with verbal communications to clients and attorneys.
