Purpose :

The Grants Administrator is a member of the Advancement department. The Grants Administrator is responsible for researching, preparing, submitting and managing grant proposals / reports that support agency goals and meet funder guidelines and criteria. This person engages with all program departments as well as in compliance reporting.

  • Contribute to fund development efforts for support of all programs and the overall agency.
  • Provide support to other departments and staff.

Essential Duties :

Manage Grant Applications, Results & Reporting

  • Manage application and report timelines in project management software.
  • Collaborate with program directors to collect program data, outcome measurements, and other items needed for grant applications and reports.
  • Prepare application and report templates, including guiding notes for grant writers.
  • Coordinate and collaborate with grant writers, program directors, finance, Chief Development Officer, Chief Programming Officer and Chief Executive Office to ensure all grants and reports are completed accurately and submitted within the timeframe as indicated in grant process.
  • Review and edit all grants and reports prior to submission; secure additional approval from the Chief Development Officer, or CEO when appropriate.
  • Document grant applications, results and reports in project management platform, internal drive, CRM, and other locations as needed.
  • Development of Program Measurement Tools

  • Assist the Chief Development Officer and Chief Programming Officer in strategizing program measurement tools, including outcome measurement plans and logic models.
  • Meet at least bi-annually with program directors to review program measurements and assist program directors in drafting outcome measurement strategies.
  • Maintain a timeline and timeframe for collecting program measurements according to grant reports and other internal measurement goals.
  • Support program staff by maintaining knowledge of internal reporting software and how to pull reports and data.
  • Work with marketing staff to prepare bi-annual program data reports for the Board of Directors.
  • Grant Stewardship

  • Update donor database regularly with funder information, including foundation contacts and interactions with foundation, board and staff.
  • Assist with stewardship of grant funders by ensuring thank you notes are prepared and updates occur.
  • Manage relationships and project coordination with grant writing vendor.
  • Coordinate check presentations, site visits and photo opportunities with grant funders ensuring appropriate staff members are included.
  • Funding Strategy and Research

  • Assist Chief Development Officer in preparing grant funding strategies for YWCA programs.
  • Conduct regular research for grant opportunities with a focus on increasing existing funding, adding new funders, and funding both current and new programming.
  • Research and stay up-to-date on relevant statistics for YWCA program areas to use in grants, including national and local statistics; communicate with program directors and development / marketing team to ensure all are using the same statistics in grants, presentations, website, etc.
  • Other duties as assigned

    Requirements

    Education :

  • Bachelor's degree or equivalent combination of education and experience.
  • Knowledge and Experience :

  • 3-5 years of experience with state and federal grant funders.
  • Strong customer service skills with ability to communicate in a professional manner with a wide range of people.
  • Proven ability to effectively and respectfully interact with all populations, including clients, co-workers, board members, volunteers and agency.
  • Ability to exercise independent judgment and discretion when handling potentially confidential or sensitive manners.
  • Strong time management skills.
  • Proficient in Microsoft Office including, Outlook, Word, and Excel. Experience with Google Platform and Asana preferred.
  • Financial / Fund development software experience strongly preferred.
  • Accurate, organized, and detail-oriented, with ability to work under pressure and shift priorities in response to changing needs.
  • Ability to keep accurate records and files.
  • Must comply with the organization's policy of automobile insurance : must have a valid driver's license and personal automobile insurance coverage.
  • Flexibility to change work hours as needed.
  • Physical / Mental Essential Requirements :

  • Walking, standing, bending, stooping, reaching, moderate lifting and carrying (up to thirty (30) pounds).
  • Full range of body motion including manual and finger dexterity and eye-hand coordination.
  • Requires corrected vision and hearing to normal range.
  • Ability to sit at a computer work station for extended periods of time.
  • Occasionally the need to stand for long periods of time.
  • Work is performed primarily in a non-smoking office environment.
  • Occasional high stress may be experienced in dealing with clients, staff and volunteers.
