Salary and Benefits

Salary Range : $4,482.00 per month to $6,342.00 per month.  PLEASE NOTE :  The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $4,482.00 per month to $5,412.00 per month.

About the Position

The Office of Admissions provides comprehensive services to prospective students, continuing students, staff, faculty, and the members of the community-at-large who are seeking information or services from the University within the functional areas admission and transfer credit. This position specializes in transfer credit functions under the general supervision of the Director of Admissions. This specialization includes posting transfer credit units, processing degree audits for all new transfer students, responding to e-mails and request tickets, and communication with staff, faculty and students.

Responsibilities

Process Transfer Credit Evaluations

  • Download daily reports and / or workflow assignments.
  • Update information / coding as needed in appropriate administrative computing system(s).
  • Assist in the processing and delivering of accurate degree audits to all new transfer students within the established deadlines.
  • Under the guidance of the Senior Degree Audit Specialist, reference, retain, recall and apply comprehensive knowledge of CSU and CSUEB policies and procedures as they relate to transfer credit evaluation.
  • Under the guidance of the Senior Degree Audit Specialist, make determinations on course applicability to degree requirements.
  • Confer with the General Education Office when necessary.
  • Update student’s record with additional transfer coursework submitted to CSUEB enrollment.
  • Fully utilize new technologies including document imaging and degree audit programs to assure timely completion of tasks.
  • Participate in weekly staff meetings and training related to transfer credit, new policies / procedures, and updates to computing systems.

Perform Athletic Academic Eligibility Review

  • Under the guidance of the Senior Degree Audit Specialist evaluate student athletes for academic eligibility each term.
  • Under the guidance of the Senior Degree Audit Specialist communicate with other departments during the assessment process.
  • Communication and Direct Student Support

  • Provide professional and timely responses to students, faculty, and staff inquiries regarding transfer credit evaluations via phone, email, Case Management or in person.
  • Ensure all e-mails to the transfer credit email account and automated tickets are responded to in a thorough, accurate and timely manner.
  • Report technical, policy, or other issues to the Assistant Director of Transfer Credit.
  • Meet with students regarding degree audit concerns at One Stop.
  • Quality Control of Admissions Work

  • Obtain and retain knowledge of the Admissions requirements and processes to provide help as needed.
  • Review work completed by the Transfer Admissions Counselors for accuracy on a daily basis as part of the degree audit process and report any pattern of inaccuracy to the Senior Degree Audit Specialist.
  • Receive training to serve as the quality control arm of the Admissions Office ensuring that admitted students meet all university requirements.
  • Evaluate individual college transcripts for completion of transferable units, required GE Courses and GPA as needed.
  • Minimum Qualifications

    Experience

  • Equivalent of one (1) year of experience in professional Student Services work at the entry trainee level.
  • Equivalent amounts of graduate level job-related education may be substituted for the required experience.
  • Education

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field.
  • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
  • Knowledge and Abilities

  • Working knowledge of the methods and problems of organization and program management.
  • Research and interviewing techniques.
  • Principles of individual and group behavior.
  • The ability to rapidly acquire such knowledge of the organization, procedures and activities of the specific campus to which the position is assigned.
  • Knowledge of basic principles, practices and major trends in the Student Services field to which assigned.
  • Ability to rapidly acquire a working knowledge of the specific objectives of the campus Student Services program and its relationship to the total campus operation.
  • Ability to interpret and apply program rules and regulations.
  • Gather and analyze data; reason logically, draw valid conclusions and make appropriate recommendations.
  • Present clear and concise information orally and in written reports.
  • Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations and other private and public agencies.
  • Preferred Skills and Knowledge

    Knowledge

  • Thorough understanding of or the ability to learn transfer credit evaluation principles, practices, and policies within the California State University (CSU) system, including General Education (GE) and major-specific transfer credit requirements.
  • Working knowledge of or the ability to learn university admissions and degree audit processes, including transcript evaluation and academic record maintenance.
  • Familiarity with or the ability to learn NCAA academic eligibility requirements and procedures for monitoring student-athlete eligibility.
  • Knowledge of or the ability to learn student information systems (., PeopleSoft or equivalent), degree audit software, and document imaging systems used in higher education environments.
  • Understanding of or the ability to learn FERPA regulations and best practices for handling confidential student information.
  • Skills

  • Strong analytical and critical thinking skills for evaluating transfer coursework, determining course equivalencies, and applying institutional and systemwide policies accurately.
  • Excellent attention to detail and data accuracy in maintaining student records and completing evaluations within established deadlines.
  • Proficiency in using electronic workflow tools, data management systems, and reporting applications to process and track student records.
  • Effective written and verbal communication skills for interacting professionally with students, faculty, and staff.
  • Strong organizational and time management skills, with the ability to handle multiple priorities and meet competing deadlines.
  • Skill in problem-solving and troubleshooting, particularly in identifying and escalating technical or policy-related issues.
  • Abilities

  • Ability to interpret and apply complex academic policies and procedures related to transfer credit, admissions, and degree requirements.
  • Ability to work both independently and collaboratively within a team environment, maintaining a positive and cooperative approach.
  • Ability to exercise sound judgment and maintain confidentiality when working with sensitive student information.
  • Ability to communicate effectively and empathetically with diverse populations of students, including transfer students and student-athletes.
  • Ability to adapt to evolving technologies and changing institutional procedures, demonstrating flexibility and continuous learning.
  • Ability to provide quality assurance by reviewing and verifying the accuracy of work completed by others.
  • Condition(s) of Employment

    Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to : criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and / or verification of work history is required for employment. Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and / or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.

    All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
