Responsibilities
- Act as primary administrative resource for assigned team members and projects.
- Oversee scheduling / calendaring of business-related arrangements on behalf of assigned attorneys and teams.
- Ensure document production as needed (custom reports, schedule analysis, data, expense summaries, project updates, client billing background, client history documents, etc.).
- Coordinate calls, emails, meetings, and client correspondence as requested by assigned attorneys.
- Ensure diligent preparation and organization of administrative documents such as client agreements and drafts.
- Ensure continuous proficiency (and proper use) of all required systems and provide ongoing reports on status of assigned projects as requested by attorney or various project teams throughout the organization.
- Research and analyze new methods of administrative resources for greater attorney efficiency and productivity.
- Collaborate with other organizational departments (office services, IT, marketing, etc.) to maintain attorney resources (e.g., office supplies, systems updates, branded materials, etc.)
- Assist in filing and organizing records (physical and digital) and case materials in accordance with company policy and with confidentiality, including proper indexing and filing of original legal documents.
- Participate in cross-departmental projects and client-related organizational initiatives as needed.
- Other duties and responsibilities as assigned.
Qualifications :
Minimum of 2 years of experience in customer service and / or administrative services.Associate's degree or equivalent work experience required. Bachelor's degree preferred.Experience in organizing key information and organizational activities with adherence to policies and protocols.Demonstrated ability to prioritize work, manage time, and organize tasks effectively.Proficient communication skills (written and verbal) with ability to read, interpret, and edit written content with accuracy, timeliness, and reliability.Ability to analyze and organize administrative tasks for organizational efficiency.Demonstrated ability to work collaboratively with all organizational levels within a diverse and fast paced environment.Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint, Microsoft Teams) and Adobe Acrobat.All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
