Client Coordinator Position Description
Professional Objective : To provide superior customer service to the guests at Sparrows Nest. To ensure that external customers receive a memorable and satisfying experience during every contact with our business, and that internal customers (i.e., technical staff) are able to do their best possible work.
Overall Purpose : The Client Coordinator is the clients first contact with the spa, whether by telephone or in person. They set the tone for the visit from the moment they begin interacting with the clientele. The Client Coordinator aligns communication and work activity within the spa, and is a primary agent of customer satisfaction and quality management and has particular attunement to the needs of pregnant and postpartum clients.
Duties and Responsibilities :
Essential Functions
- Acts as a skilled and gracious host to guests of the wellness center, ensuring their complete comfort and satisfaction
- Efficiently schedules, confirms and guarantees all appointments according to the company protocols and manages waitlist
- Provides thorough and knowledgeable explanations of the spas services in order to maximize each sale and optimize customer satisfaction
- Provides prompt, professional, and helpful telephone service to customers
- Coordinates client appointment schedules to ensure smooth and efficient workflow
- Checks guests in and out
- Performs sales transactions, creates and takes responsibility for Point of Sale data, follows procedures and maintains high standard of accuracy

Orients guests to the facility and sets them up for desired activitiesConducts walk-in retail salesSells gift cards, advises on gift selection, maintains accurate gift sales dataHelps to maintain a beautiful and clean physical environment in public areas of the spaProvides facility tours to visitors and prospective clientsFacilitates effective workflow for internal customers (technical staff) including laundry supportAttends and participates in general and team meetingsMaintains a polished and professional appearance, including following dress requirementsQualifications :
Friendly, positive attitude!Experience in direct customer care (hospitality and retail experience highly valued, but not required)Basic computer skills and ability to learn our software applicationExcellent communication skillsSchedule flexibilityEnergetic, accustomed to a fast pace, experienced at multi-taskingPhysical Demands :
