We are seeking a highly organized and customer-focused Business Professional – Administrative Assistant I to provide administrative and operational support to our Sales and Service organization. In this role, you will work closely with customers, sales teams, and cross-functional departments to support quotations, purchase orders, revenue collection, customer account management, and service operations. The ideal candidate is detail-oriented, possesses excellent communication skills, and has experience working with SAP/CRM systems in a fast-paced business environment.
Key Responsibilities:- Provide administrative support to Sales, Service, and Operations teams to ensure efficient day-to-day business operations.
- Serve as a primary point of contact for customers, responding to inquiries via phone and email while maintaining strong customer relationships.
- Prepare and process customer quotations, purchase orders (POs), and sales documentation accurately and in a timely manner.
- Coordinate with internal departments to support maintenance service sales and ensure customer requirements are met.
- Maintain accurate customer records, installed base information, and service activities within SAP CRM or other CRM systems.
- Track and support revenue collection activities while ensuring compliance with SOX (Sarbanes-Oxley) business processes.
- Assist with billing, invoicing, contract administration, and revenue reporting to support quarterly and annual business objectives.
- Generate reports, analyze service and sales data, and provide updates to management.
- Document customer equipment issues and coordinate with appropriate teams to facilitate timely resolution.
- Support peak business periods, including month-end, quarter-end, and year-end activities.
- Ensure all administrative documentation is complete, accurate, and maintained according to company policies.
- Perform additional administrative and operational duties as assigned.
Required Qualifications:- Bachelor's degree in Business Administration, Management, or a related field, or equivalent work experience.
- Minimum of 2 years of experience in administrative support, sales support, customer service, or business operations.
- Experience preparing quotations, processing purchase orders, billing, and revenue collection.
- Strong customer service and relationship management skills.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
Preferred Qualifications:- Experience using SAP CRM, SAP ERP, or other CRM platforms.
- Knowledge of SOX compliance and business process controls.
- Experience supporting service operations or maintenance organizations.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Experience preparing reports and supporting business analytics.
