We are hiring a Business Application Specialist I to provide division-level functional and technical support for business applications critical to the operation of Public Works Facilities Design and Construction, Facilities Management, Energy Management, and Building Maintenance Divisions, including asset and work management systems (FacilityForce), facility access control systems (Lenel), and other enterprise applications. Serves as a key point of contact for division technology support and assists in coordinating related initiatives.
Develop and maintain documentation including business processes, workflows, standard operating procedures, and user guides.
Serves as a functional power user and participates in system testing, evaluation, and continuous improvement of business applications.
Assist with the administration and support of FacilityForce, including work order management, asset data maintenance, workflow support, and user assistance.
Analyze and utilize Asset Management system capabilities to automate departmental labor, enhance workflows, and improve process efficiency and data accuracy.
Assist in identifying departmental business needs and analyzing existing processes and workflows; develop and document business processes, flowcharts, and diagrams, and identify opportunities for automation, standardization, and process improvement.
Research best industry practices; collaborate with staff and stakeholders to assist with developing division standards, best practices, and consistent operating procedures.
Assist in assessing departmental technology needs and provide input on new implementations for existing applications; assist with gathering business requirements and translating operational needs into functional system enhancements or configuration updates.
Develop and deliver user training and provide ongoing support to ensure effective use of business applications.
Assist with the planning and support of the deployment of field technologies, including mobile devices, barcode systems, and other field enabling hardware.
Assist with product research, planning, implementation and training for an automated warehouse and inventory system utilizing bar code scanning.
Support project activities including documentation, coordination, and stakeholder communication; assist with project planning, resource and risk identification, and process improvement efforts.
Collaborate with the Department of Information Technology (IT), Public Works Technology Services Group, vendors, and stakeholders to support application performance, integration, and issue resolution.
Assist with report development, data extraction and validation to support operational and management decision-making.
Perform data management activities including verification, entry standards, quality checks, and ongoing data integrity validation, including the use of mapping or related tools where applicable.
Assist with application support for departmental users, including troubleshooting, FacilityForce workflow configuration, application code entry, asset and infrastructure data management, user access, and support for projects and contract-related functions.
Provide support for Lenel access control and badging system operations, including user access requests, badge-related troubleshooting, data and hardware updates, reader naming and coordination with security stakeholders.
Support system upgrades, patches, and enhancements by assisting with testing activities, including development of test cases and participation in user acceptance testing.
Assist with application user account management, including role-based access and permissions in coordination with established security practices.
Support Mobile Device Management (MDM) activities, including device setup, application deployment, and basic troubleshooting for City-issued mobile devices.
Assist with administration and support of enterprise collaboration and reporting tools such as SharePoint and Power BI, including basic site support, report updates, and user assistance.
Participate in cross-departmental teams and initiatives to support enterprise application alignment and standardization efforts.
Perform other duties as assigned to support departmental technology initiatives and operations.
MINIMUMS: Any combination of education (above high school), training, and/or experience equivalent to four (4) years in a field related to functional support for automated business operations in a network or server-based environment for the agency where the IT services are being used, utilizing the required knowledge, skills, and abilities. May be required to have or obtain a valid drivers license. SPECIAL REQUIREMENTS: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
• Knowledge of FacilityForce, AssetWorks, Lenel, or similar asset/work management and access control systems.
• Familiarity of database structures and the ability to analyze data from systems.
• Experience developing reports using tools such as SSRS, Power BI, or similar reporting platforms.
• Background in supporting business processes and technology solutions.
• Experience writing policies, procedures, and technical or user documentation.
• Skill in collaborating with internal and external stakeholders to support business needs and technology solutions.
• Experience supporting or participating in software implementations, upgrades, or system integrations.
• Strong problem-solving skills with the ability to troubleshoot both technical and non-technical issues.
• Ability to effectively communicate with technical and non-technical users and provide training and support.
• Ability to work independently while effectively managing priorities and meeting deadlines.
• Ability to practice time management and prioritize competing tasks.
• Ability to assess and recommend alternative solutions.
• Working knowledge of SQL and/or scripting languages (e.g., Python, JavaScript) to support data analysis and system troubleshooting
• Familiarity with Microsoft Power Platform (Power Apps, Power Automate, Power BI) and SharePoint.
• Experience supporting mobile devices and field-based technology solutions.
