Pay Range Information:Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.
Job Description Summary:The Administrative Assistant will provide operational and administrative support to the Amgen Oncology Medical Affairs Fellowship Program. This role will assist with recruitment activities, professional candidate communications, interview coordination, Fellow logistics, and day-to-day program operations tasks. The ideal candidate is professional, organized, detail-oriented, and comfortable managing multiple tasks in a fast-paced, team-based environment. A background in business management or project management is strongly preferred. This is a part-time position with flexible hours, aligned with program needs and key recruitment periods, with peak periods from August to January.
This position is located at the Irvine Rinker Campus in Irvine.
Responsibilities:Under (supervisor name)’s supervision: ·
- Support the day-to-day operations of the Fellowship program, including tracking timelines, maintaining program materials, and updating the program webpage. ·
- Coordinate recruitment activities and events, including scheduling information sessions, webinars, and preparing materials
- Manage candidate communications and interview scheduling, including calendar coordination and maintaining records.
- Maintain accurate and up-to-date recruitment and program records.
- Provide logistical support for fellows, including meetings, travel coordination, and reimbursements.
- Perform other duties as assigned

- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft Office and virtual meeting platforms
- Ability to work independently and collaboratively Professionalism and ability to maintain confidentiality
Desired Qualifications:- Prior administrative experience
- Experience supporting recruitment or academic programs
