End-to-End Marketing Project Manager IV - Reimagine Retention

Kaiser Permanente's National Marketing team drives growth, retention, and brand relevance across multiple lines of business. As the Marketing Project Manager IV, leads end-to-end delivery of complex marketing projects and campaigns - from intake and scoping through planning, execution, launch, and post-launch learnings. Coordinates cross-functional teams (e.g., strategy, brand, creative, media, analytics, operations) to keep work moving, manage timelines and risks, and ensure deliverables align with business objectives and agreed standards. Hands-on with the details in a matrixed environment, bringing structure and predictability to fast-moving, high-visibility marketing work.

In addition to the responsibilities listed below, this senior individual contributor position is responsible for leading or assisting in the management of operational aspects of creative and/or marketing for a variety KP products, projects, and initiatives; coordinating multi-channel and multi-platform strategic marketing campaigns; ensuring that the job intake, scheduling, assignment, and quality control procedures, along with the work provided by support vendors, produce the high-quality deliverables required for overall project success; monitoring and tracking project budgets, invoices, scoping, scheduling, and prioritization; overseeing job trafficking, reporting, supply ordering, vendor relations and billing, job archiving, equipment and maintenance, and legal and compliance review; administering project management software; and ensuring that required department records are kept up to date and available for internal/external audit or oversight review.

This role is also responsible for providing end-to-end logistical support to marketing, creative, and production teams; establishing and upholding service level agreements between creative teams and other internal departments, including stakeholder management, production schedules, and project related vendor deliverables; managing all creative and editorial services production activities, including reviewing creative briefs, assigning jobs, prioritizing work, securing approvals, and expediting crisis jobs; assisting in the technical preparation of vendor files, finalization of job specifications, blue line and other proofing reviews, and distribution for approvals; providing innovative production solutions for ensuring products are on time and on budget; and contributing to internal department initiatives, including updating and creating processes, documentation, tools, etc.

Essential Responsibilities:

Supports the development of work plans to meet business priorities and deadlines; identifies resources to accomplish priorities and deadlines. Identifies, speaks up, and capitalizes on improvement opportunities across teams; uses influence to guide others and engages stakeholders to achieve appropriate solutions.
  • Manages large-scale projects from initiation to close-out. Develops, analyzes, and manages moderately complex project plans which include scope identification and management, schedule, inter-dependencies, and resource forecast. Manages and monitors project financials for large projects. Monitors overall project performance (e.g., on time, on budget, within scope, and with quality) against plan, ensuring measurement of business benefits and outcomes, and makes adjustments as needed. Manages project activities related to organizational change management (e.g., development and execution of user adoption, implementation, and training plans) as defined by the project. Drives allocation of resources, establishes schedules, and task assignments to ensure established project management practices are in place.
  • Leads the work of project team members. Requests and coordinates internal and/or external resources based on the alignment of team member skills and project demands. Promotes project vision and objectives with project team. Delivers performance feedback to team members supervisors.
  • Proactively monitors and identifies project risks, issues, and trigger events by developing mitigation plans and strategies; and resolving or escalating risks or issues as appropriate.
  • Monitors adherence of project activities to policies and procedures by ensuring project plans and team members follow KP, departmental, and/or business line policies and procedures.
  • Ensures the alignment, buy-in, and coordination of diverse project stakeholders by building rapport with stakeholder teams, third party vendors, and senior management; and clarifying accountability and authority across stakeholders. Identifies and works closely with stakeholders, ensuring all appropriate stakeholders are represented and included. Provides insight to key stakeholders and project sponsors by developing project goals, setting the prioritization of deliverables, discussing involvement of business processes (e.g. project change management, communication) and facilitating decisions necessary for project delivery. Communicates tough issues to stakeholders while maintaining an independent opinion, providing recommendations, delivering presentations, and providing reports to various senior audiences.
  • Assists with reviews of vendor performance levels and ensures service level agreements are met. Partners with Procurement and/or Legal to develop service level and/or scope of work agreements as appropriate. Assists with contract negotiations with vendors and reviews project invoices submitted by vendors for accuracy.

Minimum Qualifications:

  • Minimum three (3) years experience in marketing operations or trafficking project management with an ad agency or as part of an internal creative team.
  • Minimum two (2) years experience working with graphic design, video editing, and web development software, including commenting/review tools.
  • Minimum two (2) years experience working with Microsoft Word, PowerPoint and Excel.
  • Minimum one (1) years experience in a leadership role with or without direct reports.
  • Bachelors degree from an accredited college or university and minimum five (5) years experience in project management or a directly related field OR Minimum eight (8) years experience in project management or a directly related field.

Preferred Qualifications:

  • Project Management Professional (PMP) or equivalent project/program management certification.
  • Three (3) years of experience working with the Project Management Office (PMO).
  • Three (3) years of experience working in business optimization and transformation.
  • Three (3) years of experience working with Tableau BI, Oracle, SharePoint, and/or Excel (e.g., creating pivot tables).
  • Three (3) years of experience working with healthcare operations.
  • Two (2) years experience working with corporate/organizational communications, media relations, advertising, marketing communications, and/or related spheres of professional communication.
