This is the heart of the role. You serve as the primary point of contact for everyone entering the building.
Greeting & Screening: Welcoming families, healthcare providers, and prospective residents while ensuring they follow check-in/safety protocols.
The "Concierge" Touch: Assisting residents with small daily needs, such as finding their mail, confirming mealtimes, or scheduling transportation.
Tour Support: Offering a warm first impression to families touring the facility and occasionally providing basic information about floor plans or amenities.
You are the central hub for information flowing in and out of the community.
Call Routing: Managing a multi-line phone system, taking detailed messages, and directing calls to nursing, marketing, or executive directors.
Inquiry Management: Handling initial inquiries from families looking for care and ensuring the sales team gets their contact info immediately.
Emergency Response: Monitoring the emergency call system (pendant alarms) and alerting nursing staff or emergency services when a resident needs help.
Mail & Deliveries: Sorting resident mail and handling package deliveries for both the office and the residents.
Maintenance Requests: Logging work orders for the maintenance team when a resident reports a leaky faucet or a lightbulb out.
Clerical Tasks: Filing, scanning documents, updating resident directories, and managing the front desk supply inventory.
Monitoring Entrances: Ensuring that residents with memory impairment (who may be at risk for wandering) do not leave the building unaccompanied.
Sign-In Logs: Maintaining accurate records of who is in the building for fire safety and regulatory compliance.
Patience & Empathy: Essential for interacting with residents who may have hearing loss or cognitive decline.
Multitasking: The ability to handle a ringing phone, a delivery driver, and a resident question all at once without losing your cool.
Discretion: You will be privy to sensitive health information; maintaining HIPAA compliance and resident privacy is non-negotiable.
