Order Team Support Specialist / Lending Support Coordinator

Position Summary:
The Order Team Support Specialist / Lending Support Coordinator role is responsible for supporting lending operations by managing third-party order-outs, assisting with compliance-related tasks for Down Payment Assistance (DPA) programs, and providing operational support to Loan Officers, particularly within Refinance and Home Improvement lending.
This role is not a traditional processor support position and does not focus on organizing documents for others. Instead, this position is centered around helping move files forward by coordinating required services, following up on outstanding order-out items, assisting with compliance needs, and maintaining strong communication with borrowers, vendors, and internal team members.
The ideal candidate is comfortable making phone calls, communicating across departments, working independently, and supporting multiple areas of the lending process.
Key Responsibilities:
Order-Out & Vendor Coordination
Order and track third-party services such as appraisals, title work, payoff requests, verification of employment (VOE), Verification of Rent (VOR), Verification of Mortgage (VOM), flood certifications, homeowner's insurance, and other required loan services.
Follow up consistently with vendors, title companies, appraisal management companies (AMC), insurance providers, and other third parties.
Monitor timelines to ensure orders are completed in a timely manner.
Escalate delays or concerns that may impact closing timelines.
Maintain communication with internal staff regarding order status updates.
Down Payment Assistance (DPA) Compliance Support
Assist with compliance-related tasks tied to Down Payment Assistance programs, if any.
Support collection and review of DPA-required documentation.
Help ensure files meet program requirements and deadlines.
Coordinate with internal teams and outside agencies to ensure DPA timelines are met.
Assist with tracking compliance items needed for affordable lending programs.
Loan Officer & Lending Team Support
Support Refinance and Home Improvement Loan Officers with follow-up tasks and loan progression.
Assist in communicating with borrowers to obtain required information.
Provide updates to Loan Officers regarding outstanding items or delays.
Support lending workflow by helping remove bottlenecks within the process.
Act as an operational resource to multiple team members across departments.
Communication & Cross-Team Collaboration
Comfortable making outbound phone calls to borrowers, vendors, title companies, and internal teams.
Maintain strong communication across lending, processing, title, and operations teams.
Build working relationships with multiple departments to help move files efficiently.
Communicate professionally and clearly to support workflow and accountability.
Administrative & Operational Support
Maintain accurate notes and updates within the Loan Origination System (LOS).
Monitor loan timelines and assist with keeping files progressing.
Support workflow coordination across multiple loan types.
Assist with identifying roadblocks and proactively helping resolve them.
Help ensure operational consistency across lending support functions.
Education and Experience
High school diploma or equivalent required
Minimum of one year's customer service experience required
Some exposure to mortgage or financial services industry a plus; willingness to learn mortgage processing required
Ability to serve Spanish-speaking clients in Spanish required
Work Schedule
Must be able to work flexible hours, including evenings and/or weekends on occasion.
No overtime allowed without preapproval
Expected to be available 8:00 am to 5:00 pm mountain time
Available for trainings as designated by HW
Physical Requirements
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Must be able to occasionally lift up to 20 pounds
Must be able to maneuver around various client business offices and workspaces.
