Office Operations Support – Must-Have Requirements
- Minimum 1 year of experience in administration, manufacturing, aerospace, purchasing, customer service, or production support
- Strong attention to detail and accuracy
- Excellent organizational and follow-through skills
- Basic to intermediate Microsoft Excel skills
- Comfortable learning ERP systems such as JobBOSS
- Ability to manage multiple assignments and changing priorities
- Ability to research information and work through basic problems independently
- Ability to recognize missing, inconsistent, or questionable information
- Strong written and verbal communication skills
- Dependable, self-motivated, and willing to learn
- Ability to work accurately in a fast-paced manufacturing environment
Office Operations Support – Position Summary
We are looking for an organized and dependable Office Operations Support professional who wants to learn the business from the ground up and take on increasing responsibility over time.
The position will initially focus on administrative, organizational, filing, data entry, record maintenance, and office cleanup projects while learning the company's systems and processes. As knowledge and experience increase, responsibilities will expand into areas such as purchasing, customer orders, production, outside processing, shipping and receiving, and other office operations.
This position is best suited for someone who naturally pays attention to what is happening around them, notices when something needs attention, and takes initiative to find answers and follow tasks through to completion.
Success in this role will be measured not only by completing assigned work, but by becoming increasingly dependable and self-sufficient. The long-term goal is for this person to eventually take ownership of an entire process, area of responsibility, or customer account and manage it from beginning to end with minimal management follow-up.
Office Operations Support – Essential Duties & Responsibilities
- Organize and clean up office paperwork, records, and files
- Review open paperwork and identify items requiring follow-up
- File, scan, organize, and maintain documents and records
- Perform accurate data entry in JobBOSS, Excel, and other company systems
- Maintain reports, spreadsheets, logs, and tracking tools
- Assist with general office projects and administrative needs
- Enter customer orders after appropriate training
- Compare customer purchase orders with quotes, requirements, and available information
- Assist with trained portions of the contract review process
- Identify missing, conflicting, or questionable information
- Maintain accurate customer order and contract records
- Track open orders, due dates, and required follow-up
- Maintain task lists and follow-up lists
- Research the status of open items before responding or escalating
- Follow assigned tasks through completion and verify required actions are completed
- Assist with production paperwork, travelers, reports, and scheduling-related administrative tasks
- Maintain production tracking information
- Research job status and follow up on open production items
- Identify information or conditions that could affect production or customer delivery
- Support purchasing, production, outside processing, shipping, and other office functions as training progresses
Office Operations Support – Additional Qualifications
- Previous manufacturing or production office experience is a plus
- Experience with ERP systems, JobBOSS, or manufacturing software is preferred
- Purchasing, customer service, order entry, or production coordination experience is helpful
- Strong Excel and computer skills
- Ability to learn new processes and systems quickly
- Comfortable working with detailed paperwork and repetitive information
- Ability to communicate professionally with customers, vendors, production employees, and management
- Ability to work independently after training
- Strong problem-solving and research skills
- Willingness to start with basic responsibilities and earn additional responsibilities through demonstrated performance
