View Point Health Job Title: Program Assistant - Clinica Alianza Terapuetica Latina Job Code: GSS081/Administrative Support 2 Shift: First Full-Time (40 hours per week on average) Job Hours: 8am-5pm Times May Vary Base Location: Norcross, GA Division/Department/Program: Alianza Terapuetica Latina Outpatient Center View Point Health proudly provides outpatient treatment to children, adolescents and adults.
At the outpatient centers, we promote overall health and quality of life for individuals, youth and families through evidenced-based therapies and medication management to reduce the impact of mental illness, behavior challenges, and substance use.
The Program Assistant is the administrative liaison for a multi-faceted program under supervision of a program director and serves as primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance.
Responds to questions, requests, or needs based on specific knowledge of the program and its operations.
The Program Assistant is responsible for overseeing patient flow and ensuring the centers administrative needs are being met.
Resolves routine administrative problems independently and registers new clients during open access in a timely manner, check-in and check-out clients for their appointments, schedules hospital discharge appointments, and answer telephone calls in a professional and courteous manner.
Verifies authorization, treatment plans, connects orders for service, consent, and eligibility for future appointments.
This position will maintain databases, logs, and other records of routine information.
Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.
Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel.
May enter data and/or process documents and records.
The work includes operating standard office equipment.
Work is performed under the general supervision of a clerical or administrative supervisor.
Duties & Responsibilities: Make initial contact with clients, register new clients & complete client orientation.Answer inbound calls, schedule appointments and check voicemails.Check insurance, receive co-pays, send billing tickets.Log and upload pertinent client documents received from external outlets into electronic medical records.Document any important information being communicated to clients over the phone or in-person.Check clients electronic record and complete any necessary documentation or pending appointments to be scheduled.Maintain communication between clients, clinicians, and supervisors.Assist with maintaining office supplies and keeping work areas organized.
Minimum Qualifications: High school diploma or GED AND Two (2) years of general office or administrative experience Note: Ability to read, write, and speak fluently in English and Spanish Preferred Qualifications: Minimum one (1) year experience working in a medical/mental health setting.Outgoing, engaging, and personable communication skillsExperience working in a medical or psych office, or DBHDD.Experience using Carelogic or other electronic record systems.Excellent computer skills including familiarity with Microsoft Word, Excel, and Med Terminology are essential.Highly organized and detail oriented Requirements/Competencies: Must be able to lift 20 pounds.
Requires long periods of sitting/standing.
Must be able to respond quickly to sounds.
While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.
Candidates for selection must pass a criminal background check (including fingerprinting) Must pass a pre-employment drug screen and subject to random drug screens.
Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities Note: Some positions may require a valid driver's license.
