Job description

Project Coordinator

Reporting to the Senior Advisor to the President, the Project Coordinator is a full-time, grant-funded role that supports the implementation and day-to-day operations of the Garden State Veterans Legacy Program (GSVLP), a grant-funded teacher professional development initiative supported by the Veterans Legacy Grants Program. The Coordinator provides administrative, logistical, and programmatic support to ensure the successful execution of project goals, including teacher recruitment, workshop coordination, field trip planning, communications, procurement, and compliance with federal grant requirements. The GSVLP trains 30 K12 educators to research and tell the stories of New Jersey-connected Veterans honored in VA national or VA grant-funded cemeteries, resulting in biographies, digital stories, and curriculum materials uploaded to the Veterans Legacy Memorial (VLM). The program includes online workshops, a three-day field trip, and a public exhibition and research showcase. This position is grant-funded and contingent upon the availability of funds. The project period ends August 31, 2027.

Principal Duties and Responsibilities:

  • Assist the Principal Investigator in coordinating and implementing GSVLP goals, timelines, and activities, ensuring alignment with Veterans Legacy Grants Program requirements.
  • Serve as a point of contact for teachers, cemetery partners, University departments, and external collaborators including the NJ Department of Veterans Affairs.
  • Support the planning and execution of, and attend, a three-day field experience and an exhibition and research showcase.
  • Coordinate logistics for Zoom workshops before and after the field trip, including scheduling, communication, materials distribution, and technology support.
  • Track project progress and maintain detailed documentation of activities, communications, teacher deliverables, and timelines.
  • Assist in preparing reports for the University and the Veterans Legacy Grants Program, ensuring accuracy and compliance with federal guidelines.
  • Draft emails, newsletters, and informational materials for teachers and partners; support social media and website updates in collaboration with University Communications.
  • Facilitate procurement of goods and services and assist with expense tracking in coordination with fiscal staff.
  • Maintain digital and physical files.
  • Assist teachers in accessing University databases and project tools.
  • Support onboarding and coordination of student workers or part-time staff as needed.
  • Represent the GSVLP in internal and external meetings and events as required.
  • Perform other duties as assigned.
  • Management retains the right to add or change job duties at any time.

Qualifications:

Required:

  • Bachelor's degree from accredited college or university.
  • A minimum of two years of administrative, project coordination, or program support experience, preferably in higher education or non-profit settings.
  • Demonstrated ability to manage multiple tasks simultaneously, meet deadlines, and maintain organized records.
  • Strong written and verbal communication skills.
  • Experience working with diverse communities and stakeholders.
  • High level of initiative, problem-solving ability, and attention to detail.
  • Proficiency in Google suite, Zoom, Canvas, and other relevant administrative tools.

Preferred:

  • Experience supporting grant-funded projects or educational initiatives.
  • Familiarity with University financial, HR, or procurement systems.
  • Event planning or community outreach experience.
