Job description

Medical Education Coordinator

This position serves as the coordinator and manager of the administration and operations of the two-year Phase 1 Doctoring and Clinical Skills courses at the Rockford campus and leads collaboration with the cross college clinical skills curricular teams. This requires excellent communication, problem-solving, and organizational skills along with the ability to guide faculty to implement activities in a way that benefits student learning, communicate with students, and identify and communicate the needs of the program to administrators at both the Rockford campus and college as a whole. This position may also require interaction with various healthcare systems. This position requires significant knowledge of the coordinator position and the ability to train and supervise staff members as needed.

Duties & Responsibilities

  • Coordinates the M1/M2 longitudinal course Doctoring and Clinical Skills including supporting and managing course/education materials, assignments and evaluation processes, assisting course faculty, managing Canvas, Learning Space, and Benware, and placing students in clinics for required clinical encounters.
  • Resolves scheduling issues to ensure students meet the curricular requirements.
  • Tracks student outcomes data for the Doctoring and Clinical Skills Course and M4 Peer Mentoring Course to ensure students have the opportunity to meet milestones and the gradebook is prepared for course faculty.
  • Participates in the budgeting process for the department by anticipating changes in clinical skills training year to year which may impact the amount of resources needed to train students.
  • Maintains lecture and course event schedules and ensures faculty and students are scheduled to meet the curriculum requirements. Facilitates and communicates all necessary scheduling changes to faculty and students.
  • Collaborates with the Director for Simulation Programs and Medical Education Program Specialist for Standardized Patients to support the scheduling and coordination of all standardized patients requiring events.
  • Provides administrative support for the OSCE program for the medical student curriculum. Coordinates scheduling of both students and preceptors for the OSCE program in collaboration with the Program Specialist for Standardized Patients. This includes providing support for Learning Space and monitoring completion of faculty evaluation of students in the clinical skills and simulation centers.
  • Cross trains with other members of the Office of Medical Education & Evaluation.
  • Assists with the orientation for new Office of Medical Education staff.
  • Maintains certification as a Test Center Administrator (TCA) for our Computer-Based Test Center (CBT), which administers USMLE Step 1 & Step 2 Examinations, under the direction of the CBT Coordinator & Office Supervisor, as well as provides back-up for the CBT as needed.
  • Interacts regularly with various deans, department chairperson, participating healthcare institutions, and faculty to provide input regarding student scheduling, committee deliberations, curricular matters, staff issues, and special projects.
  • Serves as point of contact for the cross-college Doctoring and Clinical Skills team to assist with cross college alignment of the course.
  • Provides appropriate data on the educational program to the Associate Dean for submission to the Liaison Committee on Medical Education (LCME), the American Association of Medical Colleges, and the National Board of Medical Examiners.
  • Participates in and compiles reports regarding the educational program for various committees within the College of Medicine.
  • Performs other related duties as assigned.

Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    • College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    • Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems
  3. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
