JOB SUMMARY:

Under the supervision of the Director of Clinical Resource Management, the Staffing Coordinator is responsible for analyzing, coordinating, and maintaining nursing personnel time schedules to provide staff as necessary based on unit staffing guidelines and patient acuity. In collaboration with Nurse Leaders, the Staffing Coordinator will perform the following each shift:

  • Adjust staffing to accommodate census, acuity, staff competencies and availability changes
  • Maintain the staffing and scheduling system
  • Monitor and update Nurses license, credentials expirations renewal and contact information
  • Facilitate and document the utilization of temporary contract staff
  • Prepares staffing and scheduling reports as requested
  • Report accurate data to internal and external sources.
  • Perform other responsibilities of the Nursing Office as assigned.
These services further the mission of Valley Presbyterian Hospital, which is to provide high-quality, cost-effective healthcare for the people in the communities we serve.

EXPERIENCE/QUALIFICATIONS:
  • Previous experience in healthcare preferred.
  • Excellent computer skills, which includes proficiency in Word and Excel
  • Excellent verbal and written skills
  • Ability to coordinate and prioritize multiple tasks and projects
  • Must be able to make decisions within short time constraints and with multiple fast paced changes occurring simultaneously
  • Must be able to adapt well to changing priorities, instant deadlines, and constant interruptions
EDUCATION:
  • High school diploma or equivalent required
  • Bachelor's in business or healthcare preferred.
LICENSURES/CERTIFICATION:
  • Must successfully complete and maintain LA City Fire Card certification at the time of hire or within the first 30 days of employment
MUST HAVES:
  • All required licensures, certifications, mandatory education; along with annual occupational health screenings must be completed prior to the expiration date or by the end of the month in which they are due. Reference the Educational Requirements: Must Haves, Mandatory and Unit Based policy (in electronic policy management system) for the specific requirements for this position.
DUTIES AND RESPONSIBILITIES ( These are the essential job functions for this position. The essential functions of this job include but may not be limited to those listed in this job description.   • Adapts to the needs of the hospital/service by demonstrating flexibility.
  • Collaborates with approved outside agencies. Ensures temporary staff meets hospital requirements, including credentials, competencies, and occupational health clearance.
  • Creates and maintains personnel files for temporary staff.
  • Exhibits professionalism in appearance, conduct, communication, and behavioral appropriate to the situation.
  • Functions as the staffing and scheduling super user; answers functional questions, provides training/support to peers, employees, and/or manager/director.
  • Generates death certificates for the Public Administrator of Los Angeles County cases by using the California Death Registration System (CA EDRS).
  • Maintains strict confidentiality, following HIPAA and VPH policies. Performs daily activities within the appropriate ethical and legal guidelines as defined by the Compliance program and in accordance with Valley Presbyterian Hospital's mission, vision, and values.
  • Operates multiple computer software for staffing management competently.
  • Performs assigned daily staffing and scheduling functions to meet specific requirements of patient care units with the goal of proving staffing in accordance with California ratios and patient acuity needs in accordance with nursing administration policies, standards, and procedures as well as Human Resource and Payroll policies.
  • Performs initial screening profiles of contract staff and communicates with the agencies on behalf of the nurse leaders.
  • Performs varied and responsible administrative support work, as assigned by management, in direct support of the patient care units and their directors and/or managers including, but not limited to, reception, answering and screening telephone calls, filing and maintaining records, composing documents, processing forms, distributing mail, requisitioning, and distributing supplies, photocopying documents, scheduling and calendaring, etc.
  • Processes and preapproves timesheets for temporary staff.
  • Produces spreadsheet and other reports for leaders to track staff.
  • Provides management with staffing and scheduling ad-hoc reports as needed. Creates other reports such as, but not limited to, taxi voucher log/invoice, traveler usage and safety companion log.
  • Reports facility wide bed availability and bio surveillance information to Los Angeles County Emergency Management System twice daily.
  • Reviews patient census and acuity information. Continually adjusts and allocates core, travelers/temporary staff (as approved), float and relief nursing personnel to provide adequate coverage to clinics and inpatient areas to meet staffing requirements daily, including "just in time" staffing to address sick calls and other unscheduled absences.
  • Revises and adjusts unit schedules as needed in consultation with nurse management. Consults with nurse leaders regarding nurse staffing and scheduling needs, such as creating flexible staffing alternatives.
  • Serves as the point of contact for patient valuables; deposit and retrieve patient's valuable to and from safe.
  • Performs other duties as assigned and competent to complete.

Demonstrates knowledge of and follows safety practices. Understands the importance of safety, including patient safety in the work place. Maintains a safe environment for self and others.

Actively participates in the Patient Safety Program, including event reporting. Identifies sentinel events/near misses and responds per defined organization processes. Participates in education activities and process implementation. Demonstrates advocacy for the patient/customer and appropriately acknowledges patients, customers and visitors.
