Appeal Coordinator
The Appeal Coordinator is responsible for coordinating and supporting the firm's invoice appeal process to ensure timely submission, accurate tracking, and visibility into appeal outcomes. This role supports revenue recovery efforts by maintaining organized workflows, managing appeal communications, and ensuring consistency across systems and reporting.
Duties and Responsibilities
Response Management
- Own and manage the appeal email inbox, ensuring all communications are reviewed and addressed timely
- Review, respond to, and route appeal-related emails as appropriate
- Ensure no communications go unanswered; track and follow up on all outstanding items
- Maintain organization and visibility of all appeal correspondence
- Escalate denials, reductions, or inconsistencies to the Appeal Recovery Manager
Appeal Coordination & Execution
- Prepare, submit, and upload invoice appeals to carrier platforms and portals
- Ensure all required documentation is complete, accurate, and properly formatted
- Track appeal deadlines and ensure timely submission
Data Entry & Tracking
- Maintain accurate and up-to-date appeal logs and tracking systems
- Enter and reconcile appeal data across internal systems (e.g., Aderant, trackers)
- Ensure consistency between submitted appeals, responses, and reporting
Reporting Support
- Assist in maintaining appeal tracking reports and dashboards
- Support data pulls related to recovery rates, aging, and appeal outcomes
- Help identify trends or discrepancies in appeal activity
Documentation & File Management
- Organize and maintain appeal documentation, correspondence, and supporting materials
- Ensure consistent naming conventions and version control
- Maintain complete and accessible records for all appeal activity
Process Support
- Follow established appeal workflows and procedures
- Identify gaps or inconsistencies in processes and escalate as needed
- Support standardization and continuous improvement of appeal operations
Required Skills & Qualifications

- Ability to follow structured processes and workflows
- Reliable follow-through and task ownership
- Proficiency in Microsoft Office Suite
- Ability to learn and navigate internal systems and external platforms (e.g., Aderant, Legal-X, carrier portals)
Preferred Qualifications
- Experience in a law firm, legal billing, or professional services environment
- Familiarity with billing or appeals processes
- Experience maintaining trackers, logs, or operational reports

Compensation
$25-$30/hour
Physical Requirements

Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodations.
