The Florida State University Controller’s Office plays a central role in supporting our university’s ability to operate with integrity, accountability, and financial clarity. The Deposit Accounting Manager helps uphold that responsibility by leading the team that ensures deposit processing is recorded accurately and managed with care.

Responsibilities

Why This Role Matters to Our University and Student Success

When deposits are accurate, reconciliations are timely, and systems run smoothly, departments can focus on serving students rather than troubleshooting financial obstacles. Services run without interruption. Academic programs can plan with confidence. The Deposit Accounting Manager helps protect the integrity of the financial activity that keeps our university moving forward, allowing our students to thrive.

How This Role Supports the Mission

In alignment with the mission of the Controller’s Office, the Deposit Accounting Manager directly supports efforts to:

  • Safeguard university resources through strong internal controls, clear procedures, and sound reconciliation practices.
  • Improve the efficiency and reliability of financial operations by refining processes, monitoring trends, and identifying opportunities to strengthen accuracy and reduce risk.
  • Ensure that funds owed to the university are received, recorded, and settled properly.
  • Maintain financial integrity by upholding dependable accounting and reporting standards.
  • Promote compliance with required financial laws, regulations, and best practices, reinforcing trust in our university’s financial operations.

Key Responsibilities

Lead and Develop the Team

  • Supervises Deposit Accounting staff, guiding daily workload, training, growth, and ongoing development.
  • Oversees daily deposit posting, monitoring, reconciliation activities, and continuous improvement of procedures.

Ensure Accurate Deposit Processing

  • Serves as the primary liaison for the reconciliation of deposit activity, ensuring transactions are aligned with bank statements and resolved quickly and accurately.
  • Reviews daily and monthly reconciliations to maintain timeliness and accuracy.

Oversee eCommerce and Merchant Services

  • Directs work related to online payment systems, including refunds, voids, chargebacks, and adjustments.
  • Manages merchant accounts and monitors transaction trends to identify potential issues or areas needing process improvement.

Support Campus Partners

  • Provides guidance and training to university departments to promote consistent and accurate deposit practices.
  • Communicates effectively during reconciliation meetings and when resolving outstanding deposit issues.

Strengthen Processes and Business Continuity

  • Maintains and updates documentation supporting essential business processes.
  • Provides cross training on key functions to ensure continuity of operations.
  • Participates in disaster recovery planning and testing to protect mission critical activities.

Other duties and projects may be assigned to support the broader goals of the Controller’s Office.

Qualifications

Education Requirements

Bachelor's degree in business, accounting, finance, or similar field and five years of experience; or a Master’s degree in accounting, finance, or similar field and three years of experience; or a high school diploma/equivalent and nine years of related experience.
