Job description

General Summary of Position:

The Volunteer & Mentor Recruitment Coordinator supports alumni engagement initiatives by recruiting, coordinating, and stewarding alumni and community volunteers for mentorship, networking, and university programs. A primary focus of this role is supporting the Braven Mentorship Program, in partnership with the College of Fine Arts, Humanities and Social Sciences (FAHSS). This program connects alumni and professionals with students to strengthen career readiness, leadership development, and student success. The Coordinator also contributes to additional volunteer initiatives and alumni programs that build community, pride, and sustained engagement among UMass Lowell alumni.

Volunteer & Mentor Recruitment

  • Identify, recruit, and engage UMass Lowell alumni and community professionals to serve as mentors, volunteers, speakers, and event participants across multiple programs, with primary emphasis on the FAHSS/Braven Mentorship Program.
  • Design and execute targeted outreach campaigns (email, CRM-driven outreach, direct referrals, and partner collaboration) to meet volunteer and mentor recruitment goals.
  • Coordinate recruitment timelines, capacity needs, and role expectations with program partners including Braven staff, FAHSS leadership, campus departments, and Alumni Relations colleagues.
  • Utilize alumni data, affinity groups, and professional networks to identify and match volunteers aligned with student needs, program goals, and the university’s mission of student success.
  • Monitor recruitment progress and adjust outreach strategies to ensure adequate volunteer coverage for programs and events.

Relationship Management & Volunteer Stewardship

  • Serve as the primary Alumni Relations contact for volunteer-based partnerships, including the FAHSS/Braven Mentorship Program.
  • Support onboarding, communication, and ongoing engagement of alumni volunteers.
  • Maintain positive, long-term relationships with volunteers through regular outreach, recognition efforts, and follow-up.
  • Encourage repeat participation and deeper alumni involvement across university programs and initiatives.

Data Tracking, Reporting & Systems Support

  • Track volunteer outreach, commitments, participation, and engagement using CRM systems and internal tracking tools.
  • Maintain accurate records of volunteer assignments, event participation, and alumni engagement activity.
  • Prepare summaries and reports for internal stakeholders to assess recruitment outcomes, participation trends, and program effectiveness.
  • Support data integrity, documentation standards, and system best practices in collaboration with Alumni Relations staff.

Program & Event Coordination

  • Collaborate with Alumni Relations, Braven, FAHSS, and campus partners to support mentorship programming, training sessions, and alumni engagement initiatives.
  • Assist with planning and execution of alumni events such as networking receptions, career panels, mentorship gatherings, and volunteer appreciation activities.
  • Support event logistics including scheduling, volunteer coordination, attendance tracking, and post-event follow-up.

Communications, Administrative, and General Grant Support

  • Serve as a point of contact for scheduling and routine communications with partner representatives and internal stakeholders.
  • Support procurement/ordering and tracking of approved supplies and materials within grant guidelines (in coordination with supervisor).
  • Maintain documentation for participation, convenings, and project outputs; support end-of-grant reporting preparation.
  • Perform other related duties as assigned consistent with the scope of the planning grant.

Promote the University’s commitment to customer service by:

  • Build effective partnerships with co-workers throughout the University by freely sharing appropriate information and providing assistance when needed.
  • Ensuring optimum service to internal and external partners in response to requests for service and information. Maintaining an environment that is welcoming to persons of all backgrounds, nationalities, and roles.

Minimum Qualifications (Required):

Education:

  • Bachelor’s degree or in the process of obtaining a bachelor’s degree.

Experience

  • Experience working in people-facing roles that require strong interpersonal, communication, and relationship-building skills (e.g., alumni relations, volunteer management, customer service, sales, recruiting, advising, or community engagement).
  • Experience in volunteer recruitment, outreach, or stakeholder engagement, including identifying prospects, conducting outreach, and encouraging participation.
  • Demonstrated experience in project management, including managing multiple priorities, timelines, and deliverables.
  • Experience coordinating programs, events, or initiatives that involve working with diverse individuals or groups
  • Sales, fundraising, customer relations, or other relationship-driven experience that demonstrates the ability to motivate, influence, and engage individuals toward participation or action.

Skills:

  • Excellent communication and interpersonal skills, both written and verbal; ability to engage and motivate alumni and volunteers.
  • Strong organizational skills and attention to detail.
  • Ability to manage sensitive information with discretion and maintain organized records and secure files.
  • Ability to work independently while collaborating across multiple teams.
  • Proficiency with Microsoft Office Suite and CRM/database tools (Advance, Salesforce, or similar) preferred.

Preferred Qualifications:

  • Experience in volunteer recruitment, alumni relations, sales, fundraising, admissions, or other relationship-driven roles.
  • Bilingual/multilingual ability (spoken and/or written) preferred; experience coordinating interpretation/translation is a plus.
  • Demonstrated ability to engage, motivate, and build relationships with diverse individuals and stakeholder groups.
  • Experience coordinating programs, events, or mentorship initiatives, including managing logistics and follow-up.

Additional Considerations:

This position directly impacts alumni engagement, volunteer participation, and student success outcomes, as well as the overall success and sustainability of the UMass Lowell / Braven partnership. Effective communication, coordination, and data tracking are essential to maintaining strong relationships with alumni volunteers, campus partners, and Braven staff. Errors or delays in outreach, coordination, or documentation may negatively affect volunteer satisfaction, program delivery, participation levels, and the effectiveness of the partnership.

The role requires managing multiple priorities, recruitment timelines, and stakeholder relationships across alumni, campus partners, and external organizations. Work involves adapting outreach and coordination strategies to meet evolving program needs and participation goals.
