Job Description: Project Coordinator
Description
The Project Coordinator provides essential support to project teams throughout the execution of external client projects. This role serves as a central communication hub between Project Managers, internal teams, external clients, vendors, and other stakeholders to ensure seamless coordination and project success. The Project Coordinator leverages the project management platform Procore and adheres to established documentation, communication, and administrative processes. Key responsibilities include document control, communication coordination, procurement management, and overall project administration.
Responsibilities
Project Coordination & Communication
- Serve as the primary Project Coordinator and main point of contact for assigned projects.
- Support Project Managers by preparing and delivering project updates for internal leadership and clients.
- Coordinate communication among project teams, contractors, vendors, and other project stakeholders.
- Assist in the new opportunity process, including proposal coordination and administrative support.
Procore System Support
- Act as the Procore Support Coordinator, ensuring teams use the platform effectively and understand its functionality.
- Manage and support Procore activities for both local and regional projects.
- Enter, track, and maintain data within Procore for documentation, bidding, RFIs, submittals, and project reporting.
Document Control
- Prepare, edit, proofread, and convert documents (PDF) for storage within Procore, requiring strong proficiency in Microsoft Office tools.
- Coordinate and manage transmittals, engineering drawings, specifications, scopes of work, reports, and other required documentation before release.
Procurement & Contract Administration
- Manage procurement and contracting for subconsultants and subcontractors.
- Maintain updated insurance certificates and support project closeout documentation.
- Assist with coordinating the bidding process, including entering bid packages, following up on contractor intent, and guiding contractors through Procore bidding tools.
Project Reporting & Administrative Support
- Assist project teams with regular status reporting and tracking key activities.
- Coordinate RFIs and submittals to ensure timely processing.
- Support the preparation of project updates and reports across internal and external project management systems.

Job Type & Location
This is a Contract to Hire position based out of Georgetown, TX.
Pay and BenefitsThe pay range for this position is $23.00 - $30.00/hr.
