Supplier Services Administrative Assistant
Full-Time | Non-Exempt Position Overview
We are seeking a detail-oriented
Supplier Services Administrative Assistant to support a fast-paced travel and event operations team. This position provides administrative and operational support to internal analysts and leadership by maintaining reports, tracking program inventory, coordinating travel details, and assisting with supplier communications.
The ideal candidate is organized, proactive, and comfortable managing multiple priorities while working with several internal departments including finance, operations, and traveler support teams.
Key Responsibilities Supplier Services & Operational Support

Monitor and maintain inventory for upcoming and active travel programs

Assist with creating and maintaining operational reports used by internal teams

Maintain and update airline schedule information in internal systems

Track and manage supplier deadlines to ensure requirements are met on time

Support airline ticketing procedures for group tours and cruise programs

Review and verify passenger penalty information for accuracy
Administrative Support for Financial & Operations Teams

Prepare and distribute reports to suppliers and internal leadership when requested

Assist with reporting needs for executive leadership

Answer incoming calls and assist when analysts are unavailable

Enter cruise pricing and travel-related data into reporting systems

Maintain hotel inventory information within internal systems

Submit supplier payment requests as needed

Track work in progress and assist with operational coordination

Help maintain positive working relationships with travel suppliers
Traveler Relations Support

Assist with preparing preliminary air travel schedules for guests

Support the traveler relations team with phone coverage and reservation assistance when necessary
Additional Responsibilities

Cross-train support staff to ensure job coverage during absences

Follow company policies related to attendance, punctuality, and professionalism

Assist with additional administrative or operational duties as assigned by leadership
Qualifications

High school diploma required; college coursework or degree preferred

Previous administrative, operations, or travel coordination experience preferred

Proficiency with Microsoft Office and Google Workspace tools

Experience with workflow or project management platforms (Wrike or similar systems) is a plus

Strong attention to detail and organizational skills

Ability to prioritize tasks and meet deadlines in a fast-paced environment

Reporting Structure
This position reports directly to the
Director of Revenue & Inventory and collaborates regularly with executive leadership, department directors, and administrative support teams to help achieve organizational goals.
