Job description
JOB DESCRIPTION PrideStaff Financial is looking for a highly organized and detail-oriented Administrative Assistant to manage the daily business functions. This role entails inventory control, international logistics, and general office management. The ideal candidate is a proactive problem-solver who can navigate Oracle and Microsoft Office with ease and maintain seamless communication with international partners.

Responsibilities
  • Monitor stock, enter requisitions/POs, and update Min/Max levels.

  • Oversee supply levels for the office, warehouse, and shop.

  • Coordinate with the company on new items and resolve any receipt discrepancies.

  • Accurately enter invoices, inventory adjustments, and new vendor/customer profiles.

  • Coordinate with brokers and forwarders to manage incoming global shipments.

  • Ensure compliance with international shipping and customs regulations.

  • Create FedEx/UPS labels and manage all packing slips.

  • Manage service contracts, renewals, and on-site provider visits.

  • Arrange visitor travel and handle general administrative tasks as needed.

Qualifications

  • Previous background in purchasing and international shipping/customs.
  • Must understand the basics of accounting (GL Accounts, Fixed / Variable Costs, Accounts Receivable and Accounts Payable)
  • Proficiency in Oracle (preferred) and Microsoft Office.

  • Strong attention to detail, organization, and independent time management.

  • Ability to work professionally with vendors and international partners.

  • Must have reliable transportation and a flexible "can-do" attitude toward changing tasks.
