SM: Record and Student Services (Full-Time, Day Shift) -

The Director-Records and Student Services is responsible for all Medical Doctor (MD) Degree verifications, maintains all student records. Resolves student concerns; consults with Associate Dean for Student Affairs as needed. Plans major events for the School of Medicine from development to coordination. Supervises staff in the office of Records and Student Services. Responsible for all MD grade submission, processes student status changes, and develops the annual academic calendar. Performs other duties as needed.
Bachelor’s Degree required. Minimum four years experience in academic or records office required.
Knowledge of policies and accreditation standards of the Association of American Medical Colleges and the Liaison Committee on Medical Education as they relate to the functions of the Office of Records and Student Services. Familiarity with the organizational structure of Loma Linda University School of Medicine and Loma Linda University Health, both academic and administrative, to resolve issues. Keyboard 50wpm; computer skills (word processing, spreadsheets, database); ability to plan and organize work for self and others and manage projects; inputting data; copying; answering telephones. Able to work with, maintain, and troubleshoot typical office machines. Experience with specific programs or applications. Able to build, develop databases, filing systems and tracking mechanisms. Serves as resource for departmental computer systems. Trains new employees on systems. Excellent verbal and written skills in English. Demonstrates positive interpersonal skills. Cooperates harmoniously with others and shares information in a timely and appropriate manner. Demonstrates the ability to respond positively and quickly to changing circumstances. Acts decisively and takes effective action. Able to effectively communicate changes and instructions in a professional, effective and positive manner. Ability to prioritize assignments; ability to organize and quickly reorganize projects with minimal notice, work independently with minimal direct supervision; problem solve/reason; analyze data; explain and teach; attention to detail. Ability to multi-task with frequent interruptions. Manage and supervise staff, assign work, ensure quality and completion of work being assigned. Evaluate employee performance; handle employee coaching and performance improvement plans. Participate in or responsible for hiring/terminating. Interface with the public, students, faculty and staff in complex situations. Ability to see and distinguish color, hear, and verbally communicate.
