Job description

Events Associate

We are seeking a highly organized and execution-focused Events Associate to support the planning and delivery of high-impact internal and client-facing experiences. This role serves as the operational backbone of the Publicis Events Team. The associate supports multiple events simultaneously, ensuring timelines, documentation, inventory, budgets, and execution components remain organized and accurate. While this role does not independently own events, it plays a critical role in maintaining operational discipline and enabling flawless execution. Excellence in this role means turning complexity into clarity and making ambitious ideas feel effortless. Because our work sits at the center of key leadership and client moments across Connected Media, this role carries high visibility and regular interaction with senior executives and clients. A confident presence, strong professionalism, and comfort operating in high-profile environments are essential.

Responsibilities

  • Maintain master project trackers, timelines, and status reports across active programs.
  • Ensure documentation (budgets, vendor contracts, floorplans, run-of-show documents, guest lists) is current and organized within Microsoft platforms (Excel, PowerPoint, Teams, SharePoint).
  • Manage and organize Publicis Events Team inbox, shared drive and digital asset library.
  • Oversee physical inventory and event storage management, including shipping logistics and material tracking.
  • Support invoice tracking, PO management, and reconciliation in partnership with finance teams.
  • Engage meaningfully in meetings, document key decisions and next steps, and circulate concise recaps to drive clarity and follow-through.

Qualifications

  • 2 to 3 years of event, project management, or event operations experience Someone who has supported planning and execution across multiple events at once, ideally with both internal and client-facing exposure.
  • Strong operational and organizational skills Needs experience managing timelines, project trackers, budgets, guest lists, vendor coordination, invoices, and documentation with strong attention to detail.
  • Comfort working in fast paced, high visibility environments
  • Proficiency in Microsoft tools and event documentation Should be comfortable using Excel, PowerPoint, Teams, and SharePoint to maintain trackers, decks, budgets, recaps, and event materials

Compensation Range: $50,065 - $73,944 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
