SUMMARY OF POSITIONThe Accounts Payable Specialist supports Open Door Mission's daily financial operations through accounts payable, purchasing coordination, financial recordkeeping, and administrative support. Reporting to the VP of Finance and coordinating with the Controller as needed, this position combines recurring accounting responsibilities with opportunities to learn and assist with a variety of finance functions.This role is well suited to someone who enjoys accurate, detailed work, builds positive relationships with coworkers, and finds satisfaction in providing dependable support. Success requires flexibility, initiative, and the ability to work through incomplete information, changing priorities, and procedures that are still being developed.As part of a Christian rescue mission, the Accounts Payable Specialist works in a practical, service-focused environment alongside employees supporting people experiencing homelessness and other significant challenges. This is an individual contributor position with no supervisory or management responsibilities.Through careful stewardship of the organization's resources, this position advances our mission of Restoring Hope and Changing Lives and reflects our values of Faith, Family, Compassion, Community, and Stewardship.DUTIES & RESPONSIBILITIESProcess invoices and payments, maintain accounts payable records, communicate with vendors, and reconcile accounts.Support purchasing and expense coordination by facilitating approvals, tracking purchases, and maintaining supporting documentation.Follow up with employees across departments to obtain missing invoices, receipts, approvals, and other required documents. Communicate expectations clearly and courteously, using patient, consistent follow-up to resolve outstanding items.Maintain vendor documentation, including W-9 forms and certificates of insurance.Coordinate with departments to confirm purchases, receipt of goods, and appropriate documentation.Support accounts receivable and mail functions, including processing donation checks through remote deposit and entering donor information as needed.Maintain accurate, organized, and confidential financial records.Assist with month-end activities, reporting, and special projects.Learn additional finance and administrative functions to support departmental needs and provide coverage as assigned.SKILLS & EXPERIENCEAlignment with Open Door Mission's Statement of Faith and organizational values.Understanding of accounts payable processes and basic debits and credits.Proficiency with QuickBooks Online and Microsoft Excel.Strong accuracy, organization, and attention to detail.Warm, respectful verbal and written communication with employees and vendors.Ability to request missing information and reinforce documentation requirements while maintaining positive working relationships.Ability to organize work, ask clarifying questions, and follow through when information or instructions are incomplete.Flexibility to manage shifting priorities and learn responsibilities beyond accounts payable.Interest in a hands-on finance support role with a combination of recurring tasks and varied assignments.EDUCATION & EXPERIENCEHigh school diploma or equivalent required.At least two years of experience in accounts payable, bookkeeping, or an office support role involving financial transactions.Nonprofit, community service, or small-organization experience preferred, particularly in an environment requiring flexibility and collaboration across departments.Relevant accounting coursework, training, or additional experience welcomed.WORK ENVIRONMENTThis position is primarily onsite at a working rescue mission. The setting is modest, active, and focused on delivering services to our community. Employees should be comfortable working in a shared, service-oriented environment where operational needs may change throughout the day.The role offers opportunities to broaden practical finance skills. It is an ongoing support position rather than a structured management development role.
