Construction Project & Accounting Administrator

Location: On-site, Walnut Creek CA region
Position Type: Temp-Hire
Pay range: $28-35/ hour (based on experience)
Start Date: Immediate
Our customer is seeking a versatile and highly motivated individual to join our tight-knit team. This role is designed combines project administration with accounting support, though we are open to candidates specifically focused on the Project Administrator role as a primary priority.
We are a fast-growing, relationship-focused company specializing in Federal and Public Works construction contracts. This position reports directly to the Office Manager and offers a collaborative environment where you can take ownership of critical project and financial workflows.Key Priorities & Responsibilities
Primary Focus: Project Administration
  • Software Management: Execute new project set-up and daily operations within Procore and Viewpoint Spectrum. You will be responsible for monitoring and resolving ERP syncing errors between these platforms.
  • Document Control: Issue and track subcontracts, purchase orders, and subcontract change orders.
  • Compliance: Maintain subcontractor compliance documents, including insurance certificates, certified payroll, lien releases, and pre-qualification packages.
  • Project Support: Maintain project folders, take meeting minutes, and provide general support to office and field operations.
  • Data Entry: Scan, review, and enter 100+ invoices and credit card receipts weekly into accounting software.
  • Vendor Maintenance: Manage vendor set-up (W-9s), review vendor statements, and follow up with project managers to ensure timely invoice approvals.
  • Financial Documentation: Complete credit applications, bond requests, and assist with credit card reconciliations.
Qualifications
  • Software Proficiency: Proficient in MS Office 365 and Procore (highly preferred). Experience with Viewpoint Spectrum is a major plus, though training will be provided for the right candidate.
  • Document Control Knowledge: Clear understanding of construction subcontracting processes and related documentation is required.
  • Administrative Experience: Minimum of 2 years of experience, specifically within the construction industry.

Education
  • Bachelor’s Degree or an equivalent combination of education, training, and experience.
