Payroll Administrator
POSITION SUMMARY The Payroll Administrator is responsible for end-to-end payroll administration and a broad range of Human Resources functions, including payroll compliance, vendor billing, departmental expense tracking, and financial reporting support. This role requires a high level of accuracy, discretion, accountability, and independent judgment. The Payroll Administrator serves as the primary owner of payroll processes and internal controls, ensuring accuracy, compliance, documentation integrity, and audit readiness. This role plays a key part in maintaining operational consistency, financial stewardship, and risk mitigation. The ideal candidate is highly organized, detail-oriented, and capable of working independently and reliably in a fast-paced, deadline-driven environment.
JOB FUNCTIONS Include the following, but other duties may be assigned.
- Payroll Responsibilities
- Process weekly and bi-weekly payrolls for exempt and non-exempt employees, including taxes, bonuses, garnishments, deductions, and year-end reporting.
- Serve as the primary owner of payroll administration processes, ensuring end-to-end accuracy and completeness.
- Review and validate payroll data inputs prior to final submission, ensuring proper authorization, documentation, and system accuracy.
- Maintain payroll internal controls to support compliance, audit readiness, and risk mitigation.
- Ensure compliance with federal, state, and local wage and hour laws (including FLSA) and company compensation policies.
- Maintain payroll records in accordance with record retention guidelines.
- Coordinate quarterly sales bonus and commission payments, including data validation and payroll submission.
- Publish and maintain the monthly payroll calendar and communicate payroll deadlines.
- Respond to employee payroll inquiries in a timely and professional manner.
- Perform payroll and related reconciliations to ensure accuracy, identify discrepancies, and resolve issues proactively.
- Reconcile 401(k) loans and contributions between UKG and Empower.
- Support internal and external audits related to payroll and compensation.
- Exercise sound judgment in resolving payroll discrepancies and determining when escalation is required.
- HR Operations and Administrative Responsibilities
- Process and reconcile vendor billing, ensuring accuracy, appropriate approvals, and timely payment.
- Manage the company uniform program, including loss tracking, new hire setup, and termination updates.
- Track departmental expenses and maintain audit-ready Excel spreadsheets and financial documentation.
- Create, update, and maintain standard operating procedures (SOPs) for assigned processes to ensure continuity and cross-training capability.
- Identify opportunities for process improvement, efficiency, and standardization within assigned Human Resources functions.
- Assist with audits related to benefits, vendor billing, payroll, and departmental costs.
- Communicate with internal departments and external vendors to resolve discrepancies and ensure service accuracy.
- Onsite Services and Bistro Operations Support
- Provide administrative and financial support for onsite employee bistro operations in coordination with leadership.
- Support financial controls related to bistro sales, including reconciliation of sales reports, credit card purchases, payment methods, and vendor invoices.
- Track bistro-related expenses and revenue for internal reporting and oversight.
- Serve as an administrative point of contact for bistro-related inquiries, escalating operational concerns as appropriate.
- Support process documentation, compliance monitoring, and continuous improvement related to bistro operations.
ESSENTIAL SKILLS AND EXPERIENCE
- Minimum of three (3) years of payroll experience is required.
- High school diploma or equivalent required.
- Working knowledge of payroll and timekeeping systems.
- Intermediate Microsoft Excel skills, including formulas and pivot tables.
- Strong communication, organizational, and time-management skills with the ability to meet recurring deadlines.
- Demonstrated ability to work independently, exercise sound judgment, and manage multiple responsibilities with minimal supervision.
- Experience supporting audits, billing, or financial reporting preferred.
- Ability to apply HR policies and procedures consistently and escalate issues appropriately.
- Ability to handle sensitive and confidential employee information with discretion and professionalism.
- Ability to maintain regular and reliable attendance in support of recurring operational deadlines.
VALUED BUT NOT REQUIRED SKILLS AND EXPERIENCE
- Associate degree in business or HR-related field.
- Accounting experience.
- Experience with UKG.
- Experience supporting internal controls, audits, or compliance-related reporting.
- Knowledge of manufacturing industry practices.

While performing the duties of this job, the employee is regularly required to sit, stand, walk, use close vision, use hands and fingers, handle or feel objects, reach with hands and arms, listen, and communicate verbally. The employee may be required to speak on the telephone while simultaneously taking notes.
Occasionally, the employee may need to lift or move items weighing up to 30 pounds or request assistance for heavier items.
When walking through the manufacturing facility, the employee must wear appropriate personal protective equipment, including eye protection. The noise level in certain areas may exceed normal thresholds. This is a full-time position. The normal work schedule is 8:00 AM to 5:00 PM, Monday through Friday, with some flexibility in start and end times based on business needs.
