We are seeking a dependable, detail oriented, and inquisitive Administrative Assistant to support our Inspections / Service Department. This role is essential to keeping operations organized and running smoothly, with a focus on scheduling, documentation, and customer communication related to life safety systems inspections and maintenance.
Key Responsibilities:
- Schedule life safety inspections, maintenance visits, and service calls
- Communicate with customers to confirm appointments and provide updates
- Maintain accurate records of inspections, reports, and service history
- Assist with preparing and organizing reports, permits, and documentation
- Coordinate with field technicians and supervisors to ensure efficient workflow
- Track service requests and follow up on outstanding items
- Support general administrative tasks such as filing, data entry, billing, and phone/email correspondence
Requirements
- Dependable with strong organizational and time management skills
- Detail oriented with the ability to manage accurate records and documentation
- Inquisitive mindset with a willingness to learn industry processes
- Strong communication skills (written and verbal)
- Must have a working knowledge of Microsoft Office products. Experience with Service Trade software is a plus.
- Ability to work independently and as part of a team
- Able to work in a fast paced environment and meet deadlines.
- Must be able to work 40 hours a week and overtime as needed.
