Job description

Talent Coordinator

A Talent Coordinator (TC) plays a key role in supporting the Director of Talent across onboarding, performance management, and associate development initiatives that promote a culture of growth. As the primary point of contact for new hires, this role ensures a seamless and welcoming onboarding experience through clear communication and well-coordinated orientation activities. The TC also supports biannual performance review cycles through management of the review system and partners with Talent Development Coaches to deliver training programs. This is a unique opportunity to contribute to both talent management and development efforts while supporting broader business priorities. The ideal candidate is detail-oriented, proactive, and committed to delivering an exceptional experience for candidates and internal stakeholders, all within a firm known for its strong culture and long-standing recognition as a top place to work.

This position offers flexibility to work Tuesday, Wednesday and Thursday in the Milwaukee, Chicago, or Charlotte office and Monday and Friday remote.

The Impact You'll Make:

  • Serve as the primary point of contact for new hires throughout the onboarding process, including pre-start communication, first-day instructions, orientation activities, and ensuring a smooth transition
  • Partner with Operations Managers and Supervisors to customize new hire checklists, manage new hire introduction meetings and schedules, and coordinate Workday training assignments
  • Ensure data accuracy and consistency in new hire reports, including start dates, position details, locations, onboarding status, and related tracking information
  • Align with the Operations Specialist to coordinate IT setup, equipment deployment, office logistics, badges, new hire swag, and other onboarding needs
  • Launch and track new hire surveys to gather feedback, identify pain points, and continuously improve the onboarding experience
  • Help coordinate the mid-year and end-year performance review process in Lattice, including initiating communications, tracking utilization and progress, and supporting cycle closeout
  • Document offer outcomes and support onboarding and offboarding tracking through the appropriate Teams chat and Excel tracker to maintain accuracy, efficiency, and timeliness
  • Coordinate interview schedules and logistics between hiring managers and recruiters, and maintain candidate profiles and interview tracking forms
  • Collaborate with Talent Development teams to schedule virtual and in-person training sessions and workshops, ensuring logistics and communications are handled efficiently
  • Perform additional administrative and talent support tasks as needed to support the Director of Talent and broader business goals

What You'll Bring to Baird:

  • Ability to handle confidential information with discretion and professionalism
  • Attention to detail and proactive problem-solving skills
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple priorities, deadlines, and workflows with strong follow-through
  • Strong customer service mindset and commitment to creating a positive employee experience
  • Comfort learning and using HR systems, reporting tools, and Microsoft Office applications
  • Flexibility and adaptability in a fast-paced, evolving environment
  • Ability to identify process gaps, recommend improvements, and support continuous improvement efforts
  • Bachelor's degree in Human Resources, Business, or related field, or equivalent work experience
  • Minimum of 2 years of experience in an administrative support, human resources, talent, or people operations role
  • Preferred: prior onboarding experience, such as experience as a Human Resources Assistant, and proficiency with Microsoft Office Suite; experience with CRM systems (such as Salesforce) and performance management tools (such as Lattice) is a plus

Compensation and Benefits:

  • $55-80k annual salary range (paid hourly; based on a 375 hour work week)
  • Bonus potential up to 85% of base pay
  • Compensation and bonus are commensurate with experience, performance and/or firm profitability
  • You'll have the opportunity to advance your career while enjoying our comprehensive benefits designed for your life, career and future
