Membership & Volunteer Coordinator

Kansas REALTORS, Inc. (KR) is looking for a Membership & Volunteer Coordinator to be the go-to resource for our members, volunteers, and local association partners. You'll own the full member experience from onboarding and renewals to committee coordination and event support while keeping the data, processes, and people behind our programs running smoothly.

Reports To: Senior Director of Association Services
Location: Hybrid Main office in Topeka, KS
Schedule: 40 hours/week, MondayFriday with flexible scheduling
Classification: Full-Time, Non-Exempt
Travel: Occasional in-state travel required; valid driver's license required
What You'll Do
Membership Services & Engagement
- Manage the full membership lifecycle: recruitment outreach, onboarding, renewals, retention, and follow-up communication.
- Serve as the primary staff contact for member questions, providing timely and professional support.
- Drive participation in member programs, benefits, events, and educational offerings.
- Partner with marketing to develop and distribute membership communications and engagement campaigns.
- Assist with accounts receivable support and membership renewal processing.
Volunteer & Governance Support
- Coordinate volunteer recruitment, onboarding, appointments, training, recognition, and retention.
- Compile applications and coordinate annual appointments for committees, task forces, forums, and focus groups in partnership with the CEO.
- Maintain volunteer rosters, committee records, and appointment information in the Association Management System (AMS).
- Facilitate committee meetings: scheduling, agendas, materials, reminders, and follow-up communications.
- Prepare meeting agendas, minutes, reports, and track action items for committees, leadership groups, and the Board of Directors.
- Coordinate event logistics for volunteer leaders, including registration, travel, materials, and on-site support.
Data Management & Operations
- Maintain accurate records in the AMS and related databases; lead data integrity audits and quality control efforts.
- Track and prepare key performance indicators for member services.
- Identify and implement process improvements, automation opportunities, and operational efficiencies.
- Ensure compliance with NAR organizational standards and certification processes for KR and local associations.
- Submit course completion data for pre-license and continuing education programs to state licensing authorities.
What We're Looking For
- 24 years of experience in membership services, customer service, association management, nonprofit administration, or a related field; trade association experience preferred.
- Bachelor's degree in business, communications, nonprofit management, public administration, marketing, or a related field preferred.
- Excellent interpersonal, written, and verbal communication skills; professional and personable with members, volunteers, and stakeholders.
- Proficiency in Microsoft 365, Microsoft Teams, Zoom, and AMS/CRM platforms; comfort with AI tools a plus.
- Highly organized with strong attention to detail and the ability to manage multiple priorities and deadlines simultaneously.
- Self-motivated and proactive comfortable working both independently and collaboratively.
- Valid driver's license; ability to travel occasionally within Kansas.
- Ability to lift and transport materials up to 40 lbs.
