Job description

Associate I, Public Health

The Associate I, Public Health supports the administrative functions of the public health team for operations, programs, projects, service providers, and finance. Support includes the prompt payment and adherence to payment terms, maintaining positive working relationships with suppliers and service providers, and the provision of logistical support to our global fleet. This position requires understanding of accounts payable processes, vendor logistics support, and data management.

The Associate I, Public Health works closely with both shipboard and shoreside public health teams and stakeholders.

This role supports the four North American brands with approximately 65+ ships carrying over 10 million guests annually and employing over 100,000 team members.

Essential Functions

  • Administrative Support
    • Completes tasks and processes including administrative support, vendor scheduling, invoice processing, and data entry and management.
    • Assists with various departmental programs, such as water sampling, IPM, and compliance.
    • Manage logistics and scheduling of vendor activity for public health programs.
    • Manage inspection report data entry into HESS platform.
    • Prepare and submit expense reports, ensuring adherence to travel and expense reimbursement policies
    • Manages travel arrangements for members of the Public Health team.
    • Manages departmental records in compliance with record retention policies.
  • Financial/Vendor Support
    • Codes, records and reviews departmental invoices in the accounts payable systems according to policy.
    • Reconciles appropriate department purchases and expenses using the appropriate source documents and company policy.
    • Prepares, submits, and tracks departmental expense reports.
    • Demonstrates sensitivity to cost effectiveness within the department.
    • Provide timely responses to vendor inquiries and general information requests, maintaining positive vendor relationships and upholding departmental timelines.
    • Assist with new vendor setups or updates to vendor accounts, ensuring accurate and up-to-date vendor information for efficient financial transactions.
    • Collaborate with the accounts payable department to resolve any vendor payment issues or delays.
  • Ad-Hoc Project Support
    • Supports ad-hoc and non-recurring projects while still satisfying requirements of regular daily assignments.
    • Provides cross-coverage for other Health Services roles

Qualifications

  • Associate degree in Public Health or Business Administration/Analytics is required
  • One year of experience in positions defined by administrative support and/or clerical responsibilities. College degree may substitute for work experience.

Knowledge, Skills, and Abilities

  • Ability to work with minimal supervision and to independently maintain priorities.
  • Comfortable with deadlines.
  • Analytical and problem solver.
  • Consistent attention to detail and accuracy.
  • Intermediate to advanced skills in the use of Microsoft Office Suite.
  • Excellent interpersonal and communication skills (verbal and written) with vendors, ship personnel, employees, internal departments, and management.

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel: No or very little travel likely

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

This position is classified as "in-office." As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
