Hospital Radiology Office Manager

Position Summary:

Reporting to the Director of Operations this position supervises the radiology activities, personnel, and resource management of a diagnostic imaging office or hospital department in accordance with Advanced Radiology's established policies and procedures.

Essential Job Duties and Responsibilities:

  • Overall responsibility for the technical competencies of the staff and for ensuring that the operations of the radiology department are safe, effective and timely.
  • Develops and determines office procedures, assigns and schedules work, and expedites flow of patients.
  • Assists in the training, developing, monitoring and evaluating of staff.
  • Assists staff in the interpretation and implementation of orders to ensure that referrals are carried out within the framework of accepted policies.
  • Manages radiology activities through the coordination of resources to facilitate optimal patient care. Assures that services are provided in accordance with policies and procedures.
  • Maintains modality resource schedule templates to ensure optimal patient access and throughput efficiency for acute and ambulatory patient needs.
  • Collaborates with medical staff to determine best treatment options and service delivery.
  • Builds strong collegial relationships with medical staff, hospital personnel and other associates that interact with the department.
  • Ensures that equipment is properly maintained and repairs are attended to promptly.
  • Coordinates procurement of all necessary supplies.
  • Identifies, investigates, and assists in problem solving, associated with radiology service delivery.
  • Provides direct services and works any role they are qualified to perform as necessary to maintain departmental operations.
  • Assists in the management of resources by developing cost containment strategies and monitoring systems.
  • Directly supervises, monitors, trains, coaches, disciplines and performs 6 month and yearly reviews for all staff.
  • Promotes staff development and competencies by supporting training programs, encouraging employee recognition, and evaluating competencies. Builds strong lead technologists through mentoring and leadership example.
  • Works in conjunction with practice liaisons to coordinate and facilitate proper communication of activities in their departments.
  • Develop and maintain adherence to budgeted plans and adjust as needed based on variances.
  • Prepares operational and financial data reporting for monthly review meetings.
  • Promotes Patient Experience excellence through management of Press Gainey reports and education of staff on Staff Working Well Together best practices. Handles patient and staff concerns and complaints.
  • Facilitate compliance with all federal, state, legal and regulatory requirements and standards established across the organization, including the Joint Commission on Accreditation of Hospitals and remain current on all such requirements.
  • Observe all rules and regulations regarding radiation safety for patients and staff.
  • Responsible for coordinating operational activities with privacy implications, monitoring the organization's patient services, accounts and computer systems to assure meaningful privacy practices and adherence to corporate privacy policy.
  • Work closely with Information Technology and Security Officer to evaluate appropriate technology solutions to safeguard PHI and ePHI.
  • Collaborate with management to identify risk areas and coordinate/tracking the completion of reports and identified corrective action plans (and the effectiveness of same).
  • Collaborate with other functional areas to modify processes to address potential opportunities and workflow improvements.
  • Participate in the planning and performance of assigned areas.
  • Plan, organize, control, integrate and evaluate the work of assigned staff.
  • Prepare and maintain audit work papers and audit reports; prepare recommendations for improvement and communicate compliance audit findings and recommendations to department/functional management for management's development of corrective action plans.
  • Participate in various committees and meetings as directed by Director of Operations.

Supervisory Responsibilities

Directly supervises the employees in the clinical site. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Knowledge, Skills and Abilities:

  • Knowledge of management principles and practices; strong business management skills
  • Experience with MRI, CT and/or Nuclear Medicine preferred.
  • Knowledge of FDA, ACR, MQSA regulatory standards
  • Basic knowledge of medical terminology, anatomy and physiology is preferred.
  • Must have flexibility to monitor all shifts in site.
  • Ability to multi-task and function in a fast paced, high volume environment is a must
  • Knowledge of EPIC, Kronos, Sectra PACS, Peoplesoft preferred

Educational Requirements:

  • College degree preferred
  • Minimum High school diploma or general education degree (GED)
  • 5 years or more of supervisory experience in a health care setting
  • ARRT Certification required
