Payroll ClerkThe Payroll Clerk is responsible for ensuring accurate and timely processing of multi-state payroll using Paycom, while maintaining compliance with federal, state, and local regulations. This role requires strong attention to detail, solid accounting knowledge, and the ability to manage confidential information with integrity. The Payroll Clerk will also assist with payroll reconciliations, benefits deductions, and various accounting functions to support the finance department.Essential functions include:Process biweekly and/or semi-monthly payroll for all company locations using PaycomEnsure payroll is processed accurately and on schedule, in accordance with company policies and state/federal wage and hour regulationsVerify employee hours, deductions, and other payroll-related data prior to submissionReview and reconcile payroll reports for accuracy before each pay cycleMaintain employee payroll records, including tax setup, benefit deductions, and direct deposits.Monitor compliance with multi-state payroll tax requirements, including setup and maintenance of state tax jurisdictionsResearch and resolve payroll discrepancies, adjustments, and inquiries in a timely mannerPrepare payroll-related journal entries and reconcile payroll general ledger accountsAssist with quarterly and annual tax filings (Form 941, W-2, etc.) and ensure compliance with all applicable reporting requirementsGenerate and distribute payroll reports to management and accounting as neededSupport internal and external audits by providing payroll records, reconciliations, and supporting documentationCollaborate with HR to ensure accurate employee data transfer between systemsParticipate in process improvement initiatives related to payroll and accounting operationsMaintain confidentiality of all payroll and employee information at all timesPerform all other duties as assignedRequired education and experience include:Associate's degree in Accounting, Finance, or Business required (Bachelor's degree preferred).2years of payroll processing experience, with at least 1 year of multi-state payroll exposure.Experience with Paycom - including payroll processing, reporting, and system maintenance - is a plus.Strong understanding of payroll laws, tax compliance, and wage and hour regulations.Basic accounting knowledge and experience with general ledger reconciliation.Proficiency in Microsoft Excel and other MS Office applications.High level of accuracy, confidentiality, and attention to detail.Excellent organizational and communication skills.Preferred skills include:Experience in healthcare, manufacturing, or multi-location environments.Knowledge of benefits administration and garnishment processing.Familiarity with payroll journal entries and month-end closing processes.
