Shipping & Inventory Lead

Warehouse Manager

Shipping, Order Processing, Inventory Control & Returns

• Manages daily operational activities within NetSuite ERP, Warehouse Management System (WMS), and RF?Smart, including receiving, picking, Inventory Control, packing, shipping, and return transactions; Monitors cold chain environments throughout the warehouse (Temperature probes system) reviews all system transactions and supporting documentation to ensure accuracy, completeness, and compliance with internal procedures.
• Prepares and distributes printed pick tickets (waves), required inserts, and all applicable shipping documentation to support accurate and timely order fulfillment.
• Oversees end-to-end shipment processing activities, including order ?follow up, issue resolution, and receiving functions; provides hands?on operational support during periods of high volume, staffing constraints, or changing business requirements.
• Coordinates domestic and international shipments using FedEx, UPS, DHL, and other approved freight forwarders, ensuring adherence to service level requirements and customer delivery expectations.
• Obtains freight quotations, evaluates shipping options, and schedules carrier pickups as a backup resource to the Shipping Supervisor and Receiving & Shipping Coordinator.
• Works closely with Customer Service on custom and non?standard orders, supporting order accuracy, special handling requirements, and customer communication.
• Flexible hours as position may require overtime, weekends and on call needs.
• Maintains an accurate inventory of finished goods, raw materials, components, and packaging materials. Performs cycle count and inventory adjustments.
• Processes customer and supplier returns as required, including receipt, segregation, disposition, and destruction of returned materials, ensuring accurate documentation and completion of all required system transactions.
• Supports customer complaints by assisting with return assessments, investigations, and required documentation in coordination with QA and Customer Service.
• Assists in identifying, investigating, and resolving discrepancies related to product receiving, picking, packing, labeling, and shipping to prevent recurrence and improve operational accuracy.
• Maintains working knowledge of export documentation requirements, including Shipper's Letters of Instruction (SLI), packing lists, and related international shipping documents.
• Orders and maintains appropriate inventory levels of shipping and packaging materials to support daily operations.

Leadership & Team Support

• Provides hands-on? leadership on the warehouse floor by training, monitoring, and supporting assigned personnel.
• Trains new employees and provides retraining as required to ensure operational consistency and compliance.
• Supports the Warehouse and Distribution Supervisor in establishing developmental, team goals and participates in midyear and end? of? ?year performance review processes.
• Conducts regular one to ?one meetings with assigned team members to provide guidance, feedback, and operational support.
• Reviews and approves employee timecards for accuracy and completeness in accordance with company policies and payroll requirements.
• Promotes a positive, cooperative team environment and fosters a culture of accountability, teamwork, and employee engagement. Promotes positive communication with supporting departments and engages in cross departmental solutions.

Receiving & Packing Support

• Assists with pulling, packing, staging, and loading orders as needed to support daily operations.
• Supports receiving activities as required and serves as backup to the Receiving and Shipping Coordinator.
• Ensures shipping and receiving areas are maintained in a clean, orderly, and safe condition.

Reporting, Safety & Compliance

• Assists the Shipping Supervisor with monthly operational reporting.
• Follows all internal procedures and complies with Good Manufacturing Practices (GMP) requirements.
• Operates warehouse equipment safely and efficiently, including forklifts (certification required).

The Successful Applicant

Education

• High School Diploma (or equivalent) with relevant experience may be substituted for a diploma and/or GED.

Experience

• Minimum of 6+ years of shipping, supply chain experience in a manufacturing environment.
• Prior Lead or supervisory responsibilities required.
• Experience in life sciences, biopharma, or medical device industry preferred.
• Cold Chain experience & understanding of regulatory bodies a huge plus!
• Experience with shipping equipment (Forklift, standup reach and Scissor lift.)

Knowledge, Skills, and Abilities

• Ability to work effectively under pressure in a fast-paced environment.
• Strong organizational skills with excellent attention to detail.
• Ability to investigate issues and resolve problems efficiently.
• Working knowledge of shipping systems.
• Proficient in Microsoft Office, including Word and Excel.
• Strong verbal and written communication skills.
• Ability to work cooperatively with others and maintain professionalism with internal and external customers.
• Ability to follow procedures, think rationally, and make logical decisions.
• General understanding of GMP requirements applicable to warehouse operations.
• People Management experience

Language Skills

• Ability to speak, read, and write English fluently.

Physical Demands

• Frequent walking, standing, sitting, bending, reaching, and squatting
• Regular use of hands to handle, feel, and grasp materials
• Ability to lift and move materials in excess of 50 pounds
• Ability to load and unload incoming materials for extended periods
• Ability to work in cold or freezing environments for extended periods
• Regularly required to sit, type, and communicate by phone and email
• Frequently required to read, compile, compute, and record data

Work Environment

• Office/Warehouse environment with standard business equipment (computers, phones, printers, scanners, pallet jacks, forklift, scissor lift, scales, plastic wrap machine).
• Work in shipping and receiving warehouse areas, including exposure to refrigerated and freezer environments.
• Required to wear appropriate personal protective equipment when entering cold storage areas.
• Exposure to moving mechanical parts and moderate to loud noise levels in warehouse settings.

• Works under task-directed supervision.

• Hourly Pay Rate Range is between $25-35/hour
