Executive Assistant – Human Resources

Location: Arcadia, CA (Onsite required)
Pay Rate: $45/hour

Overview:
The Human Resources department is seeking an experienced Executive Assistant to provide comprehensive administrative support to HR leadership. This individual will play a key role in managing calendars, coordinating meetings, preparing reports and presentations, and handling confidential information in a fast-paced healthcare environment. This is an excellent opportunity for a polished professional who is motivated to learn and grow.

Key Responsibilities

  • Provide high-level administrative support to the Vice President of HR and HR leadership team.

  • Coordinate and manage executive calendars, including scheduling meetings, appointments, and events.

  • Prepare correspondence, presentations, reports, and meeting materials with a high degree of accuracy and professionalism.

  • Organize and coordinate domestic travel arrangements and event logistics.

  • Maintain confidential records and provide support for HR-related projects and initiatives.

  • Screen and direct communications on behalf of executive leadership.

  • Uphold a professional business presence and demonstrate excellent judgement when handling sensitive information.

  • Anticipate the needs of executives and proactively manage priorities as circumstances change.

Required Qualifications

  • High School Diploma or GED required.

  • Minimum three (3) years supporting senior or executive-level leadership in an administrative or executive assistant capacity.

  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

  • Excellent written and verbal communication skills.

  • Outstanding organizational skills and ability to manage multiple priorities in a dynamic environment.

  • High degree of professionalism, discretion, and reliability.

  • Demonstrated ability to handle confidential information with integrity.

  • Stable work history.

Preferred Qualifications

  • Five (5)+ years supporting C-suite or senior executives.

  • Previous support experience in Human Resources and/or healthcare.

  • Bilingual (English/Spanish) strongly preferred.

  • Understanding of HR functions such as compliance and onboarding.

  • Experience organizing executive communications, travel, and event logistics.
