Job Description We are seeking an Executive Assistant IV to join our dynamic team. The ideal candidate will have strong experience in executive-level administrative support, calendar and travel management, stakeholder coordination, and report preparation, and a proven ability to streamline workflows, manage complex priorities, and support strategic initiatives. Responsibilities: Provide tactical and strategic administrative support to upper executive-level leaders and serve as the top administrative resource in the department or division. Schedule appointments, meetings, and events for executives, maintain calendars, send reminders, reserve rooms, arrange audio-visual needs, and prepare meeting materials. Answer and route phone calls, take messages, manage routine email responses, and prioritize incoming correspondence. Coordinate end-to-end travel, including flights, lodging, ground transportation, and detailed itineraries. Provide general administrative support, including document production, photocopying, faxing, and mailing. Generate statistical and analytical reports to support planning and prepare executive-ready presentations with relevant insights. Act as primary liaison between executives and internal or external stakeholders to ensure effective communication and follow-through. Conduct basic research and gather information for reports and projects in collaboration with stakeholders. Draft, format, proofread, and edit documents, reports, and presentations to align with company standards. Coordinate administrative workflows within and across departments and with external partners. Required Skills & Qualifications: Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. Strong written and verbal communication with a professional tone and stakeholder focus. Excellent organization, time management, and attention to detail with the ability to meet deadlines. Experience managing complex calendars, travel, and shifting priorities in a fast-paced environment. High discretion and confidentiality handling sensitive information. 6-8 years of related experience in senior administrative support, office services, or similar roles. High School Diploma, GED, Higher Secondary education, or equivalent experience. Preferred Skills: Experience supporting Director-level or above.
