Under limited supervision, the Event Coordinator plans, manages, and executes events and programs that advance the University's mission, with a focus on supporting the Office of the President, Board of Trustees, Division of Development, and Communications Department. The role also assists other university departments and colleges with event planning and special programming as needed.
Requires a bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred qualifications include a bachelor's degree in Hotel, Restaurant, and Tourism Management or Public Relations. Proven experience in event planning and project management, preferably in a higher education or nonprofit setting.
Strong organizational and interpersonal skills. Ability to manage multiple priorities and deadlines with attention to detail. Comfortable working independently and collaboratively in a fast-paced environment. Proficiency with tools like Microsoft Office, event management software, OmniCMS, and Mailchimp (or willingness to learn). Knowledge of or ability to learn USC policies and procedures, as well as USC systems (Blackbaud, PeopleSoft, etc.)
Job duties include:
- Plan & Execute Signature Events: Manage all aspects of special events from initial concept to final evaluation. Coordinate and source logistics including on-campus and off-campus venues, catering, dcor, photography, audiovisual needs, entertainment, etc. Serve as a liaison with internal departments and external vendors to ensure seamless execution.
- Campus & Community Engagement: Represent the Office of Special Events on various university committees and cross-departmental projects. Collaborates with departments across development, student affairs, alumni relations, athletics, veteran's affairs, and more to support and enhance programming. Assists with hospitality and guest management at various Athletics events including football, basketball, baseball and others as directed. Assists with planning and logistical execution of development events, including the upcoming capital campaign. Assists with logistics and execution of commencement ceremonies and related events/activities.
- Logistics and Operation Support: Supports the President's House Manager in coordinating logistics for special events, tours, overnight guests, and seasonal dcor. Assists with the daily operations and special projects of the President's House as needed.
- Website & Communications: Maintains event content and photo galleries on the SEO website and distributes event photos to guests, partners, etc. in a timely manner. Utilizing various communications tools and assets, assists with the production and distribution of a wide variety of printed materials and email communications. Assists with database management for special events and projects.
- Dcor & Logistics: Assists with the coordination and organization of event dcor, props and related inventory for special events and functions as needed. Assists with the storage, transportation, and setup of event dcor to ensure high-impact visual presentation.
