Job description

The Kansas Public Employees Retirement System (KPERS), located in Topeka, is more than a pension system — we're a people-focused organization committed to supporting Kansas public employees throughout their careers and into retirement. We provide disability, death, and lifetime retirement benefits that protect those who dedicate their work to serving the public.

We are hiring two Administrative Specialist positions.

Why You'll Love Working Here

Are you someone who takes pride in doing things right, enjoys helping others, and brings a positive attitude to work every day? We're looking for a dependable, detail-oriented Administrative Specialist who is committed to supporting our members, employers, and coworkers while helping our Benefits and Member Services Division operate efficiently..

At KPERS, every detail matters because the work we do directly supports our members and employers. If you enjoy meaningful work, thrive in a collaborative environment, and take pride in accuracy and customer service, we encourage you to apply.

What You'll Do

Administrative Specialist in Death and Disability Unit

In this role you will be responsible for preparing and imaging documents and for data entry and review of beneficiary forms. Responsibilities will include:

  • Review, prepare, sort, and prioritize documents for imaging according to agency procedures and records retention requirements.
  • Scan and accurately index documents using established bar code and imaging guidelines.
  • Audit scanned documents to verify indexing accuracy before authorizing them into the KPERS Information Technology System (KITS).
  • Identify and correct imaging or indexing errors by deleting, reorganizing, or updating documents as needed.
  • Review beneficiary forms for completeness and enter the information into the member's record.
  • Communicate with members, employers, supervisors and staff to resolve discrepancies and ensure document accuracy.
  • Provide courteous, professional customer service to members, employers, and coworkers.

Administrative Specialist in Withdraw and Service Purchase Unit

In this role you will be responsible for processing mail, reception duties and data entry. Responsibilities will include:

  • Serving as the primary mail handler by sorting, organizing, processing, and distributing incoming and outgoing mail, including preparing large mailings and operating automated mail equipment.
  • Acting as the primary backup to the Retirement System's receptionist by welcoming visitors, answering incoming calls, scheduling appointments, and directing customers to the appropriate staff.
  • Creating a professional, friendly, and positive first impression for members, employers, and visitors.
  • Reviewing applications and forms for completeness and accuracy before entering information into the agency's information technology system.
  • Performing accurate data entry while following established procedures, policies, and business processes.
  • Providing administrative support that helps improve workflow and efficiency across one or more functions within the Division.

What We're Looking For

We're seeking someone who enjoys working with people, pays close attention to detail, and approaches every task with professionalism and a positive attitude. The ideal candidate is dependable, adaptable, and willing to jump in wherever needed to help the team succeed.

Qualifications and Requirements

Qualified candidates should have three years of experience in general office, clerical, or administrative support work. Education or a technical certificate may be substituted for one year of required experience.

Additionally, we are looking for candidates with the following:

  • A passion for delivering high-quality customer service.
  • A friendly, courteous, and professional communication style.
  • The ability to listen carefully and respond with empathy, tact, and respect
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • The ability to prioritize work and manage multiple tasks effectively.
  • A collaborative, team-oriented approach and willingness to assist coworkers.
  • Strong verbal and written communication skills.
  • The ability to explain information clearly and professionally.
  • Skill in comparing data, identifying discrepancies, and ensuring accuracy.
  • Proficiency with Microsoft Office and other computer applications.
  • The ability to build positive working relationships with a diverse group of people.
  • A dependable work ethic with a focus on continuous improvement.

Why Join KPERS?
At the Retirement System, every interaction matters. Whether you're welcoming visitors, assisting members, processing important documents, or supporting your teammates, your work helps provide exceptional service to the people who count on us.

If you're motivated, organized, enjoy helping others, and believe that outstanding customer service begins with a positive attitude and attention to detail, we'd love to hear from you. Apply today and become part of a team that values collaboration, professionalism, and making a meaningful difference every day.
