Job description
Job Title: Appointment Coordinator
Location: 4825 Creekstone Dr, Durham, NC 27703 Pay Rate: $22/hr on W2.
Work Type: Local
Schedule: Full-Time | Monday Friday | 8:00 AM 4:30 PM
Contract Length: 26 Weeks (Possible Extension)
Start Date: August 24, 2026 Job Summary The Appointment Coordinator is responsible for coordinating and scheduling provider clinic visits, genetic appointments, diagnostic studies, and medical procedures. This role ensures accurate provider scheduling, maintains appointment templates, supports patients with scheduling needs, and collaborates closely with providers and clinical teams. Key Responsibilities
  • Coordinate and schedule provider clinic visits, genetic appointments, diagnostic studies, and procedures.
  • Process provider schedule change requests by closing clinic days and rescheduling patients as directed.
  • Update provider schedules in Maestro Care and Qgenda.
  • Edit and maintain provider scheduling templates after receiving approved schedule change requests.
  • Audit provider schedules, templates, and Qgenda records to ensure scheduling accuracy.
  • Schedule complex cardiology diagnostic procedures, including:
    • Echocardiograms
    • Stress Echocardiograms
    • Cardiac Holter Monitors
    • Cardiac Event Monitors
    • Vascular Testing
  • Contact patients to schedule appointments and provide preparation instructions.
  • Answer patient questions regarding scheduled procedures and appointments.
  • Coordinate scheduling across multiple cardiology clinic locations.
  • Substitute for absent team members when needed.
  • Maintain accurate patient records while following departmental policies and procedures.
Required Qualifications Education
  • High School Diploma or GED required.
Experience
  • Minimum one year of customer service or patient-facing experience, preferably in a healthcare setting.
  • Experience coordinating multiple tasks and priorities simultaneously.
  • Ability to interpret written and verbal instructions and accurately gather and verify information.
  • Experience with Maestro Care appointment scheduling preferred.
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Ability to verify patient information, collect payments, and maintain accurate records.
  • Strong communication skills via phone, email, and in person.
  • Ability to build effective working relationships with physicians, staff, and patients.
  • Flexible and adaptable to changing workloads and assignments.
Preferred Skills
  • Experience with healthcare scheduling systems.
  • Knowledge of provider scheduling workflows.
  • Excellent organizational, multitasking, and customer service skills.
  • Strong attention to detail and accuracy.
