Operations Coordinator

The Burke Museum has an outstanding opportunity for an Operations Coordinator to join their team.

Regular schedule: Sunday - Wednesday, 7:30am to 6:00pm

About this Opportunity

Under the direction of the Burke Museum Director of Facilities, the Operations Coordinator is responsible for supporting the daily building management functions of the Museum and effectively directing the work of Operations support staff. The Operations Coordinator will be fully trained to respond to facilities emergencies, open/close the museum, and maintain a safe, functional environment for museum visitors, personnel, and collections. Excellent customer service and collaboration skills, as well as strong independent judgment, are requirements of the position.

Key Responsibilities

Basic Functions:

  • Inspect Burke Museum facilities (including offsite storages) regularly, ensuring maintenance/repairs are coordinated with UW Facilities and/or pertinent building management; coordinate scheduling of facility maintenance/repairs with occupants as needed
  • Facilitate access for campus facilities and safety teams, as well as outside contractors; ensure escort obligations are fulfilled for restricted areas
  • Submit and track both absorbed-cost maintenance and chargeable work orders for building infrastructure, alterations, and critical systems; ensure timely and accurate record-keeping
  • With supervisor authorization, submit and track chargeable work orders for alterations, maintenance of specialized equipment, and premium custodial services
  • Support receiving operations; periodically provide reception office coverage and perform basic receiving duties
  • Safely operate forklifts, lifts, pallet jacks and other equipment
  • Coordinate Museum surplus processes; provide Burke staff with UW surplus policies/procedures/resources
  • Coordinate supply inventory processes; purchase supplies with supervisor authorization and in coordination with Operations assistant
  • Coordinate space usage of Quarantine Room and adjacent walk-in freezer; facilitate temporary storage of incoming material for Burke staff
  • Use key database to issue/track allocations and generate reports

Staff Support (15%) :

  • Direct work of classified Operations Assistant position and hourly student employees
  • Advise Operations support staff regarding departmental policies and procedures
  • Assist Operations Supervisor with developing student employee weekly work schedule
  • Assist Operations Supervisor with student assistant recruitment and selection processes
  • Recommend and implement strategies, with leadership approval, for process improvement and employee engagement

Safety (10%) :

  • Proficient with Museum and University emergency policies and procedures
  • Serve as onsite point of contact for emergency responders as needed
  • Provide safety orientations to Burke staff
  • Monitor facility for vandalism, suspicious or criminal behavior and report to UW Police or UW Facilities, as needed
  • Support Burke frontline units with addressing disruptive visitor behavior as needed; de-escalate situations with aggressive visitors; inform UWPD of uncorrected disruptive visitor behavior as needed
  • Coordinate and facilitate access for safety inspections; ensure escort obligations are fulfilled for restricted areas
  • Ensure physical safety of building interior and exterior site during exhibit buildouts, construction projects, facility emergencies, and inclement weather
  • Co-chair interdepartmental safety committee with Operations Supervisor

Museum Security (15%) :

  • Perform daily building opening and closing procedures; support Burke Visitor Experience department with public-area closing procedures
  • Administer burglar alarm systems; program alarm schedules and user panel/keypad codes
  • Respond to alarms and building emergencies as needed
  • Monitor surveillance system, export and archive footage as needed
  • Program electronic access and operate access control system
  • Process photo ID badge requests; generate reports using photo ID badge database

Related Duties:

  • Provide high level of excellent customer service and assist with resolution of visitor issues
  • Participate in departmental and Burke interdepartmental meetings, and with external campus units
  • Provide information and advice to all building users on facility, operations, safety and museum security, as well as University services

Required Qualifications

Minimum Qualifications

  • High school graduation or equivalent AND two years of experience working at a cultural institution or in facilities management OR equivalent education/experience

Preferred Qualifications

  • Bachelor's Degree
  • Experience with University of Washington safety and facility policies/regulations
  • Experience with security, visitor services, and/or building management best practices in a museum environment
  • Experience supervising college student employees
  • Skilled in oral and written communication with diverse audiences
  • Customer service experience
  • Must work well in a team
  • Proficient with Microsoft Office suite
  • Willingness to interact with breadth of museum collections and concepts, particularly biological specimens or culturally sensitive items and issues
  • Valid driver's license
  • CPR and First Aid certified

Working Conditions

  • Able to work a regular schedule of Sunday - Wednesday, 7:30am to 6:00pm
  • Able to frequently move and traverse about inside the museum and offsite storage locations; able to move about exterior museum grounds and between campus facilities; able to ascend/descend stairs and ladders; able to operate desktop computer, two-way radio, motor vehicle, and various equipment and machinery (i.e. power drill, hammer, scissor lift, pallet jack)
  • Able to periodically remain on standby, in which off-duty activities are restricted in order to be immediately available for duty when called (duty shared with Director of Facilities and Operations Supervisor); able to respond onsite within one hour
  • Ability to serve in an "essential" University position, in which working onsite may be required during suspended campus operations (i.e. inclement weather)
  • Able to work in an environment visible to the public with visual and audible distractions
  • Must wear long pants and closed-toe shoes during shifts
  • Wear required credentials at all times and work attire/uniforms and name tags as required by position
  • Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check

The Burke is the Washington State Museum of Natural History and Culture, and its Operations team is central to the institution's core purpose of contributing to a better future for the state.

The Burke Museum's Operations team is responsible for all operations in the museum. This team is a critical part of Museum operations, and includes oversight for all building functionality, safety and security of property and staff and visitors, and environmental workplace safety.
