About Paragon Professional Services Paragon offers a wide range of environmental investigation, consulting, compliance, and remediation services as well as IT solutions, Facility O&M, Materiel Support, Supply and Security to both private- and public-sector clients throughout Alaska and the Continental U.S. Paragon’s experienced professional staff is dedicated to producing high-quality documentation and providing safe field execution to support its clients’ projects in line with local, state and federal guidelines and regulations. About this position: Office Management Specialist Location – Washington, DC The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned. To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. Wage/Salary Range: $85k - $90k Applicants will be notified via phone or email within ten (10) business days of submittal. Essential Duties & Responsibilities Provide OMS-level administrative and operational support to the PM Office of Security Assistance (SNA) Office Director and staff; manage scheduling, appointments, and coordination of meetings and engagements. Prepare and process travel authorizations and vouchers; obtain visas, passports, and other documentation required for official travel. Support preparation and tracking of administrative correspondence, reports, and briefing materials. Maintain office records and documentation in accordance with applicable FAM. Assist with personnel onboarding, security clearance processing, and building access as required. Assist with requesting and coordinating issuance and installation of information technology equipment as needed. Carry out other administrative and special project assignments as directed. Required (Minimum Necessary) Qualifications Education Requirements: Undergraduate degree (Associate's or Bachelor's degree) in business administration, international relations, financial management, accounting, or human resource management. Level of Experience Requirements: Minimum two (2) years of experience in an administrative or program support role, preferably within the federal government. Knowledge, Skills, Abilities, and Other Characteristics Strong organizational skills with high attention to detail; excellent oral and written communication skills. Ability to handle multiple tasks simultaneously and work independently. Proficiency in Microsoft Office programs (Outlook, Word, Excel, PowerPoint) and ability to quickly learn proprietary government systems. Preferred Secret Clearance Supervisory Responsibilities This position will not have supervisory responsibilities. DOT Covered/Safety-Sensitive Role Requirements This position is not subject to federal requirements regarding Department of Transportation “safety-sensitive” functions. Necessary Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this role. Physical Setting: The physical work is located at the Department of State, 2201 C Street NW Washington, DC 20520. Schedule and Flexibility: Performance will include 1920 hours of services for each position per performance period (average of 40 hours each week x 52 weeks – 10 U.S. federally observed holidays). The Contractor shall perform the stated services for eight hours per day between the hours of 7:00 a.m. and 5:30 p.m., Monday through Friday, excluding Government holidays. Contractors may be required to work alternate eight-hour shifts as specified elsewhere in this contract. Additional Qualifying Factors As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.
