San Diego Humane Society is hiring a Full-Time Medical Manager for our Oceanside team!

The Medical Manager is responsible for supporting daily hospital operations, Medical team coordination and management, workflow optimization, and hands-on patient care and animal handling as needed.

What you'll do:

Supervision & Team Support

  • Provide direct leadership, supervision and mentorship to the Escondido (ESC) and Oceanside (OSC) Medical Supervisors, including recruitment, interviewing, onboarding, training, performance management, coaching, career development, and corrective actions. Make hiring and termination recommendation to the Hospital Director. Indirectly supervise ESC and OSC RVTs, veterinary assistants, and medical volunteers.
  • Review and approve medical supervisor timecards and leave requests, develop and maintain Medical Supervisor schedules across ESC and OSC campuses, and ensure compliance with SDHS attendance and timekeeping policies.
  • Manage staffing coverage for Medical Supervisor absences by responding to call-outs, adjusting schedules, and coordinating operational coverage to ensure continuity of hospital leadership and patient care.
  • Conduct regular one-on-one check-ins with each direct report and facilitate recurring leadership meetings with Medical Supervisors at their Campus to identify operational challenges and develop solutions that support hospital and team success.
  • Support and provide leadership coverage for Medical Supervisor responsibilities as needed, particularly during staffing shortages, high-volume periods, or when Supervisors are engaged in direct patient care.

Case Management

  • Partner with Campus Leadership, the Hospital Director and Veterinary Manager to ensure the efficient movement of animals through medical pathways. Participate in shelter/population/capacity, medical, and behavior rounds as needed, as well as mass intake meetings, to support timely care and effective resource utilization.
  • Maintain accurate medical animal inventory and tracking using Shelter Buddy, ClinicHQ, and WRMD software.
  • Collaborate with the Hospital Director to coordinate medical care for ESC and OSC campuses, including facilitating intercampus transfer of patients or staff to ensure animals receive timely care from the most appropriate medical team members with the resources and skills to best support the case.

Hospital Administration

  • Oversee inventory management for controlled and non-controlled drugs and medical supplies. Ensure accurate record keeping and promptly address any discrepancies or concerns with controlled drug logs.
  • Oversee invoice processing, tracking, and financial documentation, as well as end-of-day reconciliation reports and cash handling for medical services, including Vaccine Clinic operations when applicable.
  • Ensure accurate charge entry and billing for animals in specialized programs such as CARE and Protective Custody.

Protocol & Personnel Development

  • Lead the development, implementation, and ongoing monitoring of medical protocols for the ESC and OSC medical teams, campuses, and the organization.
  • Lead and facilitate medical team meetings, on-boarding programs, and team building exercises to support engagement, alignment and professional development.
  • Partner with Volunteer Engagement (VE) to develop, update, and manage new volunteer roles within the Medical department and oversee the scheduling of medical volunteers.

What we're looking for:

  • Requires a minimum of five (5) years of clinical and/or shelter experience in a veterinary environment, with a minimum of three (3) years of supervisory experience.
  • California Registered Veterinary Technician (RVT) license highly preferred.
  • Customer service training/experience and/or hospitality training/experience preferred.
  • Must have a valid driver's license and be approved by SDHS insurance carrier to drive a company or personal vehicle for work.

Location & Hours: Based at our Oceanside Campus, with expected frequent travel to the Escondido Campus and other campus or offsite locations as needed. This position works 40 hours per week.

Pay: Starting range is between $77,334 $87,001 per year.
