POSITION SUMMARY
The Administrative Assistant supports the Center Director in the daily operations of Children's Lighthouse of The Woodlands – Creekside, ensuring a warm, organized, and professional experience for families, staff, and licensing partners. This role is often the first point of contact for the center and plays a key part in maintaining compliance, communication, and enrollment support in a licensed early childhood setting.
KEY RESPONSIBILITIES
• Greet families, visitors, and vendors warmly and professionally at the front desk
• Answer phones and respond to inquiries from prospective and current families
• Manage tours and enrollment inquiries; support lead follow-up and waitlist tracking
• Maintain accurate student files in compliance with Texas Health and Human Services (HHSC) Chapter 746 licensing requirements
• Process new enrollment paperwork, tuition payments, and billing records
• Support Cognia accreditation documentation and recordkeeping as needed
• Maintain classroom rosters, sign-in/sign-out logs, and emergency contact information
• Assist with monthly newsletters, curriculum night materials, and family communications
• Support event planning for open houses, curriculum nights, and family engagement events
• Maintain confidentiality of all child, family, and staff records
• Perform other administrative duties as assigned by the Center Director
QUALIFICATIONS
• High school diploma required; Associate's degree preferred
• Prior experience in a childcare, school, or front-office setting strongly preferred
• Comfortable with basic office software (Microsoft Office, email, billing/enrollment systems)
• Warm, professional demeanor with strong customer service skills
• Excellent organizational skills and attention to detail
• Ability to maintain confidentiality and handle sensitive information appropriately
• Must meet Texas HHSC Chapter 746 minimum standards for staff working in a licensed childcare center (background check, required trainings, etc.)
WORK ENVIRONMENT
This is an on-site position within a licensed early childhood center. The role requires interaction with young children, families, and staff throughout the day in a fast-paced, nurturing environment.
